**Receptionist Job Description**

**Reporting to**: The Principal Dentist and the Practice Manager

The Receptionist is the first point of contact for patients and visitors to the practice. Therefore, it is imperative that anyone working in reception should command a professional, friendly, polite and welcoming manner. As part of the dental team, the Receptionists’ role is to assist in the smooth and efficient running of the practice; and to adhere to protocols at all times in line with company strategy, goals and values.

**Responsibilities**:
**Customer Service**
- Greet and care for all patients and visitors to the practice in a polite and courteous manner at all times
- Be aware of and maintain as far as practicable, patient confidentiality
- Notify providers of the patient’s arrival
- Schedule appropriate appointments, liaising with the provider where necessary
- Maintain and accurately file records and update information from patients
- Ensure medical history forms are signed and updated
- Provide courtesy calls to patients where necessary
- Ensure patients receive any necessary paperwork
- Ensure appropriate treatment estimates have been signed by the patient/patient’s guardian
- Record on the computer all relevant conversations with the patient
- Handle complaints in accordance with the practice complaints procedure
- Be fully conversant with all emergency and evacuation procedures
- Promote a professional image of the practice at all times and be knowledgeable about the services the practice provides

**Business Focus**
- Appropriately book appointments
- Monitor the appointment book in order to maximise the available appointment times
- Encourage patients to give as much notice as possible if they needs to cancel or rearrange appointments particularly for longer appointments
- Collect monies from patients for treatment and record receipts
- Ensure money is safely stored at the end of the day and that there are never VERY large amounts of money kept in the cash till
- Report any equipment breakdowns to the practice manager or troubleshoot to get equipment working again
- Maintain stocks of the sundry products sold by the practice and ensure stock s ordered as necessary
- Carryout bi-monthly stock-take for sundries products
- Promote Denplan to patients and take responsibility for online enrolment of patients
- Print off and follow up on monthly reports from Denplan which allows the practice to monitor membership. Liaise with Practice Manager regarding problem memberships
- Ensure that patients with outstanding treatments are followed up on

**General**
- Follow all procedures and protocols in the Reception Manual
- Maintain reception as a welcoming, pleasing and orderly area
- Sell sundry healthcare products and give advice where necessary under recommendations by the practice clinical staff
- Ensure that the health and safety policy of the practice is adhered to
- Anticipate patients’ anxieties and answer their questions wherever possible, referring to the clinician of care; and to be flexible with your duties to ensure the smooth running of the practice

The working hours will be on a two week rotating basis of the below.

Monday 08:45 to 17:45

Tuesday 08:45 to 17:45

Friday 08:45 to 14:45

and

Monday 08:45 to 17:45

Tuesday 08:45 to 17:45

Saturday 08:45 to 14:45

**Job Type**: Part-time
Part-time hours: 22 per week

**Salary**: From £10.18 per hour

Schedule:

- Monday to Friday
- Weekend availability

**Education**:

- GCSE or equivalent (required)
