We are a manufacturing organisation that designs and manufactures a wide range of electrical distribution equipment that is used throughout the electrical distribution and supply industry. Our products are used across the globe by a number of electricity supply utilities, satisfying their demanding requirements on many varied network designs and in wide ranging climatic conditions.

**The Role**:
The Bid Coordinator is responsible for reviewing the requirements and co-ordinating the Company response to all tenders. The role requires the Bid Coordinator to be the core recipient of Tender requests from customers and disseminating the information to the various departments within the business requesting technical, sales, production and any other responses setting out the timeframes for reply. These responses are used to formulate the ultimate Tender submission and submit to customers before the due dates.

The Bid Coordinator is responsible for the single tendering procedure and database which normalises the way tenders are compiled, engineered and submitted to major UK Electrical Utilities across the Company.

**Responsibilities**:

- Reviewing and assessing tenders to ascertain the suitability of supply by Sicame UK and Sicame Group.
- Compiling tender packs and bid letters using information received from all areas of the business.
- Maintaining accurate records of existing and past tenders.
- Responsible for ensuring that internal departments respond to information requests in accordance with deadlines set.
- Responsible for carrying out all other associated tasks to ensure the effective and efficient running of the tender process.
- Supporting the Commercial Manger with monthly reporting processes.
- Supporting the wider commercial team as and when required.

**Nature and Scope**:

- First line contact for receiving information and advice of upcoming tender releases.
- Reviewing and Completing EOIs, PQQ and Tender responses by breaking them down into the appropriate disciplines and coordinate responses from multiple internal departments and ensuring the tender is submitted on time.
- Effectively and efficiently managing multiple tender projects simultaneously; managing workflows without data confusion and maintaining the quality of secondary duties.
- Creating and maintaining operation instructions for the role of Tender Engineer.
- Implementation/removal of new/expired contracts within the EFACS system and communicating contract updates to other related Departments within the company.
- When there are no active tenders being worked on the expectation is to work on maintaining and updating physical and digital tender records and provide general support to the Commercial team.

**Education and Experience**:

- GCSE or equivalent in Maths and English.
- Engineering degree or equivalent. (Desirable)
- At least 2 years’ experience working the tender contracting industry. (Desirable)

**Knowledge, Skills and Behaviours**:

- Excellent IT skills, including Microsoft Office specifically (basic to intermediate) Excel, Word and Outlook.
- Knowledge of EFACS system or similar ERP system. (Desirable)
- Diligence to detail and tenacious in managing people and departments who will be contributing to the overall success of the tender submission to deadlines.
- A disciplined and rigorous approach to work.
- Approachable personality.
- Ability to work autonomously, using own initiative, managing oneself and workload.
- Aptitude for switching back and forth between multiple tender projects and various unrelated tasks.
- Excellent organisation skills.
- Good time management skills with the ability to multi-task.
- Excellent communication skills (verbal and written); demonstration of ability to communicate effectively with customers and staff at all levels.
