Anderson Knight is recruiting an experienced EA for a company based in the heart of Lanarkshire.
The role is to deliver high-level executive support by efficiently prioritising tasks, managing schedules, organising meetings and communications, producing documents, and handling general administrative duties.
**Salary**: Between £35,000-£38,000.
Office based: Monday to Friday 08:30-17:30.
**Main duties and responsibilities are**:
- Serve as the primary contact for the CEO, ensuring the smooth operation of their office during their absence.
- Ensure effective and efficient administration, planning, and coordination of all work streams.
- Uphold the highest standards of confidentiality and compliance with policies and procedures.
- Manage diaries by scheduling, prioritizing, and organizing appointments and meeting documents.
- Coordinate travel arrangements for all C-Suite directors.
- Handle correspondence, tracking incoming and outgoing communications, and ensuring timely responses.
- Review and prioritize incoming correspondence, preparing draft responses as needed. Ensure CEO’s direct reports meet deadlines for reports, reviews, and budgets.
- Develop and maintain systems and procedures to ensure efficient office operations.
- Maintain effective communication and relationships with key partners, stakeholders, senior management, and both internal and external contacts.
- Attend meetings, take notes, draft minutes, and follow up on action items as required.
- Provide support to other directors upon request.
- Organize and manage external and internal events as needed.
- Oversee general housekeeping of the C-Suite offices.
**Key attributes and skills**:
- Experience providing PA services at the Executive Director/Director level.
- Skilled in managing complex diaries and correspondence for Directors.
- Proven ability to develop and maintain strong working relationships with senior officials.
- Proficient in office management.
- Capable of meeting tight deadlines.
- Drivers Licence is essential for this role, you will have access to a company pull car.
