An exciting opportunity has arisen for an Administrator to work within the Wheelchair and Specialist Seating Service in Brighton. The successful applicant will join two other Administrators in supporting a busy specialist multidisciplinary team of clinicians. The role of the team is ensure that appropriate wheelchair and seating equipment is issued in a timely manner to clients within the Worthing area.

This is a part time post for 30 hours per week, to be worked over four days

Jobs are available in a wide variety of services, both adult and children’s, at locations across East and West Sussex.

Main tasks
1. To be responsible for the ordering of all goods / equipment prescribed by therapists or engineers, and to chase orders with manufacturers to obtain and progress delivery dates. Orders are placed using an electronic ordering system.
2. To receive delivery of goods and check they meet the written specification, ensuring the goods are clearly labelled and placed in the appropriate place, noting delivery and informing the relevant therapist / engineer.
3. To organise the return of incorrect / faulty goods or equipment needing repair and monitor/progress warranty repairs where appropriate.
4. To carry equipment to and from the stock room when required.
5. To ensure that the storage areas, corridors, doorways and fire exits are kept clear and clutter free.
6. To ensure contaminated equipment is handled according to department and Trust policy.
7. Provide induction / training on the administrative processes and systems to new members of staff.
8. To accurately input data into the centre’s database.
9. To advise the manager, therapy and engineering staff on administrative issues or anomalies with the database.
10. To be responsible for the electronic transfer of delivery / collection / repair orders to the wheelchair maintenance contractor on a daily basis and to manage any difficulties which arise from this.
11. To be responsible for reviewing and responding to tasks exchanged electronically between the wheelchair service and the wheelchair maintenance contractor on a daily basis.
12. To work with the wheelchair maintenance contractor on a daily basis, troubleshooting concerns as they arise and feeding back / passing on to the Wheelchair Service Team Leader as required.
13. To determine daily work load, and use judgement skills to prioritise urgent tasks.
14. To assist the Wheelchair Service Team Leader in the smooth running of the service, by bringing concerns to their attention and contributing ideas to facilitate the smooth running of the service.
15. To participate in service development planning / implementation and the formulation of departmental policies.
16. To understand, and relay a range of new and routine work procedures and practices that require an intermediate level of knowledge. This knowledge will be acquired through training and work experience.
