We are recruiting for an **Executive Assistant** in the Chief Executive’s Office, who will provide a dedicated and effective support to directors in SQA’s Executive Management Team.

In this role you will provide a comprehensive and effective organisational and administrative support service to enable our directors and their offices to function effectively across the organisation. You will be a member of the Executive Assistance team in the Chief Executive’s Office, reporting into our Executive Assistant Team Leader.

You will be based in SQA’s Lowden office near Dalkeith, with attendance at our Glasgow office once every second week to support an in-person meeting chaired by your director. There will also be opportunities to work from home when not required to be in the office.

Key duties as an Executive Assistant include:

- Manage directors’ correspondence by responding directly to specific internal and external enquiries. This requires initiative to route more complex enquiries and take direct action on receipt of correspondence to ensure prompt response times.
- Prepare agenda and meeting papers for the directors.
- Plan, prioritise and organise complex and varied schedule of work which encompasses the management of busy diaries.
- Provide administrative and organisational support across directorate projects and the Chief Executive’s Office as and when required to ensure continuity of the high level of service required.
- Identify process improvements and efficiency savings within own area of work in support of the Chief Executive’s Office operational plan.
- Provide an efficient service whilst maintaining a high level of confidentiality.
- Excellent planning and organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail
- A skilled communicator with strong interpersonal skills and the ability to build relationships with Executive Management Team, colleagues and external stakeholders
- Be a skilled minute taker
- Be able to work on your own initiative but also be a team player
- Creative and innovative approach to all aspects of the role
- Applicants should be educated to SCQF Level 7 and/or have a minimum of 3 years’ administrative experience / solid and demonstrable experience of reporting to senior management.
