**Job Purpose**:
An exciting opportunity for a Site Supervisor has become available at one of our sites in the professional services sector in the heart of Manchester. We are looking for a passionate, knowledgeable and experienced Supervisor to join our team and work out of our clients’ prestigious offices

The Supervisor will act as the people manager and primary escalation point for our teams and the client, representing SPS. The Supervisor is responsible for managing all service operations at our client’s site for all their Document Management requirements, including daily service delivery, employee management, overall customer satisfaction and strict adherence to all SPS policies. The Supervisor will be responsible for ensuring a culture of service excellence across our team and will assist in the recruitment, developing and training employees. The Supervisor will be the vital link between on-site clientele and the team and will work very closely with the Deputy Account Manager and Regional Account Manager to maintain client relationships and build our rapport within the wider ‘One Team’. The Supervisor will need to be ensuring that procedural compliance processes are followed correctly in the key areas of document management service, people management, mail processes, courier distribution, loading bay (where applicable), reprographics, records management, stationary provision and our customer service desk in our Service Solution Area.

**Duties and Responsibilities**:
**People management**
- Line Management of operational staff including but not limited to documented monthly 1-2-1’s, annual appraisals, administration, performance and absence management.
- Manage staff rotating shift patterns and absence cover to allow all services to be manned.
- Chair documented weekly team meetings, Toolbox Talk’s and other updates.
- Update the Business Management System (BMS) folders with required forms/documentation.
- Support continuous professional development for employees and self.
- To ensure your direct reports welfare and wellbeing is always looked after.
- To conduct welfare, disciplinary & grievance meetings where necessary.
- To ensure direct reports are given the correct training to perform their duties.

**Operations management**
- Customer Service -To provide a professional, friendly, and helpful customer focused service to our clients each day. Lead and engage team to support the One team working.
- Build and maintain effective working relationships with our client and fellow ‘One team’ provider’s.
- Meet with client monthly to ensure opportunity to discuss operations and planning for upcoming events.

**Technical**
- To produce all work to exact client specification and timeframes
- To be competent in and aware of all processes that your direct reports undertake in reprographics, distribution, records management & stationery services.
- To collate and report weekly site activity.
- An intermediate knowledge of IT systems

**Document Management including loading bay (Where applicable)**
- Receive and process incoming mail, couriers, and ad hoc items. Distribution of internal mail, collection of outbound mail and tracked items from Service Areas.
- Maintain an audit trail of tracked mail and courier items using Samsung handheld devices and the tracking app.
- Monitor workflow using Service Now. Use various supplier websites to make courier bookings and priority mail service bookings.

**Records Management**
- Manage on-site client files, collecting from secure drop off cupboards, recorded on database and filing in secure file store.
- Monthly tasks to send client files to offsite records management.
- Process requests for files from file store or off-site storage.

**Reprographics**
- Reprographics services including printing, laminating, wire binding and scanning.
- Ensure office administration is carried out in a timely manner and mandated daily or regular checks are carried out.
- Supporting MFD 1st and 2nd line fixes and requesting engineer call outs.
- Stock management, including replenishment and maintaining stock inventory.

**Health and Safety Responsibilities**
- Always follow company policies and procedures
- Ensure that the site health & safety folders are up to date and fully compliant.
- Ensure working area is fit for purpose and complaint to all health & safety protocols.
- Ensure staff are trained in all relevant health & safety activities.
