**JOB TITLE**: Sales Order Planner

**DEPARTMENT**: Sales Order Planning

**RESPONSIBLE TO**: Manufacturing Planning Manager

**PURPOSE OF JOB**:To effectively plan and execute customers orders, linking both the Sales and Production functions of the organisation. With the resultant aim of providing all relevant external/internal customers with reliable dates on current Manufacturing capacities.

**MAIN TASKS**:
To answer telephone calls and faxes from customers requiring details of the delivery of orders - calls taken can range from 20 per day during normal order input, can rise to 40 per day during our busiest season.
- To provide acknowledgement dates for customer orders based on a review of stock, current manufacturing Orders and Manufacturing Capacity - attention to detail and communication with Production Control is imperative to give accurate delivery dates to customers.
- To advise sales department of lead-times at quotation/customer enquiry stage - accurate delivery projections are imperative to not only win customer orders but also to ensure the timescales are achievable.
- To reschedule orders and provide revised delivery dates when required.
- To advise customers if an order is expected to be delayed vs. the acknowledged date - it is imperative that the customer is kept up to date with the very latest information, delays can be costly to the all parties

To operate a progressing system which speedily deals with customer enquiries - following the procedures laid down to expedite customer orders, this will ensure the expedite is completed in a timely efficient manner that all parties are fully conversant with actions taken and future plans to be completed.
- Ensure that detailed information given by the Production Department is accurately entered onto the CSP database - all customer expedites are entered onto a database which can be accessed by the Sales Order Planning Team, is is vital that the database information is accurate and gives other personnel an insight into the state of the customer order.
- To actively aim to resolve shortages of unavailable parts by alternative methods - should delays occur with planned delivery projections it is important that all avenues to actively resolve the issue are investigated.
- To determine the most cost effective method of shipping customer orders inline with respective acknowledgement dates - to ensure that timely despatching is undertaken and communicated to the despatch department effectively so that extra costs are not suffered by alternative despatch methods.
- Order book management in order to maximise shipments and improve customer satisfaction.

To liase with other departments to obtain information necessary to answer progress enquiries - the need to glean information is a key factor for the progressor, for example ti find out when purchase parts are due in from suppliers, when manufactured piece parts will be completed, when necessary new design will be completed, liaising with other functions within the organisation,

Deal with customer returns and goods returns agreements - it is important that a customer request for return of goods is investigated and appraised in the correct manner so that returns can be authorised and processed correctly, this must be completed in conjunction with the Goods Returns Procedures.

Carry out all the above to procedures S01, S02, S03, S04, S05.

Observe company Health and Safety regulations and encourage others to do so.

Ensure that equipment is properly used and maintained.

Carry out any task delegated by the Manufacturing Planning Manager or Senior Sales Order Planner.
