Are you a strong administrator that has experience of working with large datasets, and supporting projects or teams to fulfil objectives and priorities? We are looking for a hardworking, team focussed Project Assistant to support our administration function, working primarily for the North East Uni Connect Programme (NEUCP) within the Collaborative Projects team based at Newcastle University.

NEUCP is part of the Office for Students, Uni Connect Programme which aims to reduce the gap in higher education between the most and least represented groups.

The Role

The North East Uni Connect programme (NEUCP) is seeking a new Project Assistant to lead the data collection process in support of our monitoring and evaluation function.
Working as part of a Central Project Team, and liaising with staff working across the region, you will be responsible for managing the data collection process, ensuring full compliance with GDPR and project requirements. This will include improving processes for data collection, monitoring adherence to set processes, and quality assuring data integrity for monitoring and reporting purposes utilising the Higher Education Access Tracker (HEAT). You will also support general administrative tasks as required, in line with project requirements.

The post holder would be required to successfully complete an enhanced DBS check upon commencement of the role.

The post will be primarily located within Kings Gate, Newcastle University and is available on a full-time basis, 37 hours per week.

An enhanced DBS check will be required to commence this role.

The post is fixed term in the initial instance until the 31st October 2024.

Key Accountabilities Lead and manage the collection process aligned to internal and external reporting requirements, working closely with Project Managers and our Data Analyst Be responsible for the collection of large-scale datasets shared by regional stakeholders, schools, colleges and team members, including preparing and checking datasets for accuracy, and providing solutions to resolve issues Develop and maintain processes to collect student data across partner institutions and schools ensuring compliance with General Data Protection Regulation (GDPR) Act as the first point of contact for the project team for data related enquiries, providing advice, guidance and support and escalating GDPR issues within appropriate timescales Lead on the creation of guidance documentation/resources related to data collection and GDPR for dissemination to team members To provide training to team members on the use of the HEAT system Develop effective relationships with team members, the wider Uni Connect network and HEAT forums to support and improve processes that align to existing and changing reporting requirements Analyse and develop complex processes relating to project data management, providing advice and recommendations on how improvements can be made to benefit project delivery Be responsible for importing datasets into the HEAT at key reporting periods, working to set deadlines Be responsible for cleansing data, including carrying out checks of duplicate records within the database, prior to export and reporting tasks, carried out by the Data Analyst Lead key internal project data meetings and attend/act as point of contact for external database meetings, forums and webinars, providing updates to the team following these meetings Be responsible for user management and access permissions for colleagues using HEAT and the project’s secure file sharing platform/database Work with the Data Analyst to produce reports for the Head of Collaborative Partnerships and relevant governance meetings Work closely with other Project Assistants as directed by the Project Managers, to support effective operational processes and to ensure a high-quality administrative service is provided to all project colleagues Work with the Projec
