36.25 hours per week, term time only (39 weeks) plus 3 days to cover Inset/Exam days. 8.15am to 4.00pm with 30 minutes unpaid lunch

Purpose of Post

Ensuring the School’s switchboard is manned, and telephone calls are answered promptly, offering an efficient, welcoming and inviting service to callers, in addition to passing on messages to relevant staff. Making sure that visitors to the School receive a prompt, friendly and welcoming response which efficiently deals with their queries and issues.

To provide administrative support for the office and First Aid.

To assist in dealing with first aid related matters for students and staff during the school day.

**Duties**:
**Telephone**
- Answering and dealing with all calls into School, taking messages
- Act as main point of contact for in-house phone system

**Reception**
- Greeting and directing visitors
- Issuing visitor passes with due regard to all safeguarding requirements
- Signing in/out books for visitors, staff and students
- Dealing with visitor, parents and pupil queries
- General link with visitors and staff
- Dealing with deliveries and ensuring relevant departments are notified and liaising with caretakers if bulk deliveries are received

**Secretarial/Administration**
- Maintaining the meetings room bookings electronic diary
- General typing/IT processing to support whole school administration as required
- Maintaining student records, daily or student announcements as required
- Undertaking other routine administrative tasks as required
- Lost property enquiries
- Administration of confiscated goods
- Distribution of exam certificates
- Sorting and distribution of delivered post
- Liaising with bus/taxi companies as required, in particular closure/early finish etc.
- Supporting administration of educational visits/trips such as collating returns, student lists and bookings.
- Ensuring student emergency details are prepared for off-site activities.
- Supporting other whole school admin duties when required in times of absence.
- To assist with the administration/allocation of student lockers within the school, issuing keys, ensuring their return at the end of the academic year and cleaning before reissue.
- To assist with the bookings of the school’s minibuses, both internally and externally, ensuring that drivers are authorised to drive the vehicles.

**First Aid Cover**
- Required to hold a First Aid at work certificate to assist in dealing with first aid related matters for staff and students during the school day.
- As part of the First aid team, update systems with medical notes, recording sickness/absence when appropriate.
- Monitor medicines held on site ensuring they are in date. Liaising with parents and the School Health Nurse
- On production of Healthcare Plans by the School Health Nurse, ensuring these are available for all relevant staff to see when necessary.
- Liaising with the School Health Nurse on matters such as arrangements for whole year group immunisation.
- To download a termly First Aid/Accident/Medical report from PARS for review by Strategic Development and Operations Manager and HoYs.
- In consultation with senior staff and the School Health Nurse undertake risk assessments for students returning to school after injury/illness.
- To communicate matters relating to first aid to the First Aid Team and wider audience as appropriate.
- To attendregular briefings with the First Aid Team and School Health Nurse to ensure things are running smoothly.

- Attend staff meetings where relevant Any task which is appropriate to the post level in order to maintain/enhance organisational effectiveness which may include redeployment to other departments - to include cover for absent colleagues and/or relocation to areas of need

- Be familiar with the emergency action plans for fire, first aid and security issues
- Undertake specific designated duties regarding emergency evacuation
- Raise health and safety and environmental issues with students
