An exciting opportunity has arisen in our Medical Secretary Team to:
Provide efficient and effective administrative support to the consultants, working closely with their hospital/WBC site and relevant departments.
- Providing excellent customer service to our patients and their families, ensuring a positive customer experience and demonstrating Priory’s values.

- Receipt of referrals from the Private Enquiry Manager (or admissions team / Wellbeing Centre administrative team), ensuring these are passed to the relevant consultant in a timely manner, in line with agreed SLAs and adhering to the Private Referral Management policies.
- Consistent use of Salesforce to record referral decisions (including decline reasons) and other relevant information in line with the Private Enquiry Management process.
- Requesting GP referrals on behalf of consultants and uploading GP letters, prescriptions and other relevant documents to CareNotes.
- Ensuring consistent use of CareNotes, paying particular attention to uploading handwritten notes, reports and electronic copies of documents, in line with company policies and timescales.
- Formatting letters from Visiting Consultants onto Priory letterheads (topping and tailing).
- Liaison with Consultants regarding patient/family enquiries and medication requests.
- Liaison with ward teams, the admissions team, therapy services teams, PMI insurers, regarding admissions

and discharges to inpatients.
- Liaison with therapy teams / WBC admin team regarding referring clients on to therapy and therapy appointments.
- Liaison with wider site administrative team to make room bookings for consultant appointments.
- Handle complaints from patients and families with sensitivity and a level of urgency, escalating to the site leader and Medical Director, and in accordance with company policy.

- Ensure all documentation and records, including Medical Records, are handled and stored (to include appropriate archiving) in line with relevant company policies, in order that all regulatory requirements are met.
- Maintain all standards relating to confidentiality and Information Governance, in accordance with company policy.
- Ensure accurate inputting of data, including patient details, in a timely manner.
- Demonstrating a flexible and helpful manner to all colleagues, conducting yourself in a manner consistent with company behaviours.
- Regular liaison with other departments and other Priory sites, GPs, PMI insurers and other external stakeholders.
- Effective liaison (where required) with external to Priory Medical Secretaries.
- Provision of cross-cover within the specified Medical Secretary team (or to other departments), as required by your line manager.
- Typing letters & reports (including transcription) for Visiting Consultants, where explicitly required and approved by specific role/site.
- Producing clinic lists and clinic packs as required by specific role/site.
- Supporting Incident Reporting, completing any relevant documentation as required and instructed
- Undertake financial processes (including billing/invoicing) as explicitly required and approved by specific role/site.
- Sending registration form and other documents to patients in advance of consultant appointments, and uploading documentation to clinical records, as required by specific role/site.
- Adherence to all specified role defined SLA targets
