**Job title**:Conferencing & Events Summer Assistant

**Hours**:casual 25 to 36 hours per week **. **Flexible hours including some evening and weekend work will be required at times.

**Salary**:£13.15 per hour

**Term**:Mid-May to Mid-September 2024

**Overall Role**

St Mary’s University hosts a number of events and conferences across a range of high quality international and national conferences, residential bookings, summer schools, corporate and social events and occasional filming in the historic and unique surroundings of St Mary’s University.

This role is to provide administrative and event support to the Conferencing & Events Office during their busy summer season and carry out duties as required enabling the smooth running of the functions.

**Main Duties**
- To provide general admin support to the Conference and Events Team as required.
- Answer internal and external phone calls in a professional manner, redirecting external calls where required, taking messages.
- Manage the department’s internal room booking requests and associated requirements, such as room set up, using the conferencing booking system.
- To maintain accurate and detailed records of bookings on the conference booking system.
- To support the smooth running of events, assisting on the day as required by the relevant member of the Conference and Events Team including production of name cards, notices, signage, delegate packs etc.
- Conduct campus tours and show rounds to potential clients, including arranging for rooms in specific halls of residences to be available, organising/collecting and returning keys for these rooms.
- Assist with accommodation guest check in, rooming lists, preparing keys and registration cards for guest arrivals.
- To take ad-hoc accommodation enquiries, process these on the booking system and be responsible for taking and logging payment prior to guest arrivals.
- To undertake any other activities as may be requested by the Conferencing and Events Manager.
