**Job Title**: Exams Officer

**Hours**:Average of 30 hours per week
Term time plus three additional weeks (2 weeks during GCSE
and A Level results)

**Salary**:Band D point 28 to 29 (FTE £26,433 p.a to £30,273 p.a) pro
rata

**Responsible to**:Deputy Head (Academic)

**Main Purpose of Job**:
The Exams Officer is expected to provide a comprehensive examination service for the School with overall responsibility for all aspects of strategic and operational planning and organising of examinations.

**Job Purpose**:

- To be responsible for managing the effective and efficient administration and conduct of external examinations
- To ensure compliance with the Joint Council for Qualifications (JCQ) and

Cambridge Assessment International Examinations (CAIE) regulations and awarding body rules
- To be the main point of contact for, and act on behalf of, Wells Cathedral

School in matters relating to the general administration of awarding body examinations and assessments
- To liaise with relevant staff to ensure that external examination administration processes are strictly followed and key deadlines met
- To work with relevant staff to ensure that internal examinations are effectively planned, administered and conducted under conditions that prepare pupils for external examinations

**Main Duties**:
**Overall**
- Carry out all duties in accordance with Joint Council for Qualifications (JCQ) and Cambridge Assessment International Examinations (CAIE) regulations and awarding body rules
- Conduct yourself with professionalism, tact and diplomacy at all times as a representative of the School
- Observe health and safety procedures and work safely at all times

**Planning**
- Act as the first point of contact for awarding bodies, staff, pupils, parents/guardians with regard to all issues associated with external examinations
- Maintain and develop systems to manage and coordinate all aspects of the exams administration process, ensuring accuracy
- Keep abreast of developments, updates and changes in JCQ and CAIE awarding body regulations, guidance and instructions, and communicate these to relevant staff
- Research and understand qualifications and how they are assessed
- Effectively use JCQ and CAIE awarding body online systems
- Oversee and manage appropriate access rights for relevant staff using JCQ and CIE awarding bodies online systems
- Communicate clear internal deadlines and processes for gathering and sharing examination related information with relevant staff
- Contribute to the creation and review of examination-related policies as required
- Annually confirm the information required by the National Centre Number

Register (administered by OCR on behalf of the JCQ) and inform of any changes to centre status
- Supports the Head of Centre in managing Conflicts of Interest by informing the awarding bodies to timescale and recording the measures taken to mitigate any potential risk to the integrity of the qualifications awarded

**Entries**
- Implement processes and liaise with Heads of Department to gather correct entry information and manage any changes within given deadlines to avoid late (or other) penalty fees
- Check examination fees and charges from each awarding body and liaise with the Finance Department to ensure that fees are paid as instructed and in accordance with published deadlines

**Pre-examination period**
- Liaise with HR to recruit and manage a team of examination invigilators, including training and induction. Check and verify staff hours and timesheets
- Produce and publish the final examination timetable including rooming and seating
- Effectively resolve exam timetable clashes and manage any supervision arrangements
- Ensure all Heads of Department and other relevant staff complete administrative tasks associated with coursework, including meeting awarding body deadlines for submitting coursework marks
- Manage arrangements to receive, check and store question papers and examination material safely and securely at all times and for as long as is required, maintaining written logs of receipt and dispatch of examination scripts
- Liaise with local schools regarding arrangements for MFL oral examinations if required
- Effectively manage arrangements for the secure storage and dispatch of examination scripts for marking

**Examination period**
- Manage the conduct of examinations in accordance with JCQ and CAIE regulations
- Ensure all examination rooming is prepared in accordance with regulations
- Deploy fully trained invigilators to examination rooms
- Ensure all typed examination scripts are printed correctly and dispatched with the necessary cover sheets. Sign all JCQ and CAIE cover sheets
- Ensure accurate records of all examinations are maintained in regard to seating plans, attendance registers, incident logs and proof of postage
- Manage unexpected issues which may affect the conduct of examinations
- Liaise with the Medical Centre and Senior House staff to support pupils who
