**Job Description for the role of Charity Administrator**

**Reporting to**: Operations Manager

**Location**: Office based with the possibility of some homeworking

**Salary**: £19,550 - £22,129 per year per annum

**Hours**: 22.5 hours per week

**Annual leave**: 28 days per annum

**Accountability**
- Responsible to: Operations Manager
- Accountable to: Board of Trustees, Staff and Volunteers, Funders, Stakeholders, Donors

Grassroots Suicide Prevention (Grassroots) is a charity working nationally to prevent suicide. Our vision is ‘A future where more lives are saved from suicide’ and our mission/purpose is; "We empower people to help saves lives from suicide through connecting, educating, and campaigning nationally:

- **Connecting**: We listen and connect people to support through our Stay Alive app, tools, and resources to help keep people safe from suicide.
- **Educating**: We offer bespoke and evidence-based consultation and training, co-designed to empower individuals, organisations, and communities to develop the skills and confidence to help save lives.
- **Campaigning**: We help remove the stigma around suicide. We know that most suicides are preventable with timely intervention and the right support. We raise awareness through campaigning on the ground and influencing at a strategic level.

We are looking for a dynamic and highly motivated Charity Administrator to

join our team. A keen interest in the charity sector and charity administration is

essential. We are looking for someone with a can do attitude, who will relish the

opportunity to help all staff and volunteers.

We require someone who can provide a solid foundation of administrative

support, so staff and volunteers can do what they do best and focus on

suicide prevention.

Most importantly, we need someone who is organised, a good listener,

pragmatic and solution focussed and is passionate about helping us to

continue being an effective and impactful organisation with strong

administrative procedures.

**Main Duties and Responsibilities**:
**The post holder will provide high quality administrative support to meet the day to day**

**administrative needs of the organisation, including; administration of training and fundraising, digital tools, resources and day to day office management and undertaking ad hoc tasks as they arise**

**Day to Day Administration**

**Day to Day - take responsibility for day-to-day office functions**:
**Checking post, checking and purchasing stationery, filing and liaising with our suppliers when necessary.**

**Ensuring the office is functioning well and is adhering to health and safety**

**regulations.**

**Equipment - Support with activities such as e-filing, ordering equipment, ensuring the phone and I.T systems are working well, liaising with our I.T. consultant when I.T. support is required, order phones, laptops, and SIM cards to staff if and when needed.**

**Ensuring staff have the best tools to do their jobs.**

**Policy - Liaising with the Head of Finance on the governance timetable, ensuring regular review of key organisation policies and folders ensuring clear and easy to access to all staff and volunteers**

**Minuting - staff and management meetings when required and following up actions and circulating agendas and minutes prior to meetings.**

**Producing minutes/documents in Easy read as required (training available).**

**Please note, taking minutes at Board meetings involves very occasional evening work.**

**Finance - Supporting the Finance officer with the basic collation of expenses forms and processing invoices when required.**

**H/R Administration**

Induction - liaising with our IT support provider to ensure staff are set up correctly, ensuring new staff complete all the necessary forms and update our HR system accordingly.

Managing effective management and recording of staff hours, leave, and sickness records.

DBS - Oversee Disclosure and Barring Service (DBS) processing, ensuring DBS checks are up-to-date and accurate records are maintained

**Event Planning**

**Event planning - assisting the organisation with any event planning, marketing, sending out invites and liaising with designers on publicity and making planning arrangements on the day.**

**Coordinate community fundraising events, liaise with partners and support volunteers in a community fundraising group to assist with this.**

**Communications and marketing**

**Marketing - taking overall responsibility for collating a quarterly newsletter then circulating widely to supporters and stakeholders.**

**Responsibility for ensuring all promotion literature and publicity is available and up to date and is widely circulated.**

**Monitoring & Evaluation**

**As the Database System Administrator, maintain the CRM database so that it meets GSP’s needs. Including supporting staff to maintain records, update information, access funder and other reports, develop new project and outcomes monitoring as required.
