Our Corporate team is seeking an experienced Senior PA (Resource Coordinator) to provide high level PA support to partners and lawyers, whilst having line managerial responsibility for a small team of PAs. This is a permanent contract, based at our Bristol office with some home working.

Our Corporate clients operate across Europe, the US and internationally. We have a deep specialism in advising on inbound European transactions Many of our domestic European clients are also expanding across borders and look to us for advice.

**Resource Coordinating Responsibilities**:

- Be responsible for the delivery of a seamless support service to the fee earning team at all times, particularly at short notice and out of hours, understand and identify the business requirements of the team
- Manage and coordinate team workflow, ensure appropriate cover is in place for absences and manage absence issues and provide assistance for team members during sickness/holidays as required
- Support and develop the PA team; identify training needs, coach, mentor and supervise, undertake yearly and half-yearly performance reviews, assist with the recruitment process and draft training plans for new joiners
- Work closely with and support the PAs in the team, to ensure all tasks are completed in a timely manner.
- Support and assist the Business Support Managers (and other Resource Coordinators) in the development and effectiveness of PA and administrative working practices and efficiencies
- Build and develop effective working relationships with the Corporate team; assist with key initiatives; understand the firm's vision and strategy
- Develop strong working relationships with colleagues and key personnel in our business services teams, to ensure open communication and effective problem solving at all times, embed necessary change, learn and pass on new learning to the team and colleagues

**PA Responsibilities**
- Provide highly professional, effective and proactive PA support to a number of Partners and Fee Earners
- Develop strong working relationships with our key clients; anticipate, mitigate and resolve potential client relationship issues or concerns
- Support the team with all Business Development initiatives and marketing events; promote and be a champion for keeping our marketing database/VIP lists up-to-date, assist with the collation of information for directory submissions, assist with the preparation of presentation and pitch documents and track pitches and introductions/referrals
- Assist with the file opening/client due diligence process where necessary, set up new matters and draft engagement letters
- Play an active role in understanding, managing and taking responsibility for the billing process, work closely, and attend meetings, with matter managers and our finance team, track specific billing arrangements and prepare matter manager and client reports
- Provide proactive support in terms of mailbox/file management and all diary commitments for the team, pre-empting any diary conflicts, assist with the coordination of London Office and cross-office team meetings and agenda items, attend team meetings, draft and circulate Minutes of meetings and follow-up on action points
- Proactively take responsibility for the organisation of all travel arrangements and itineraries in relation to client and non-client meetings, conferences and in-house and external events and complete expense reclaim forms
- Draft short correspondence and communications, demonstrate excellent Word skills, with the ability to amend and format large and complex documents
