About The Role

The Early Years Alliance is the largest early years membership organisation and voluntary sector provider of quality affordable childcare and education in England. An educational charity, the Alliance represents the interests of over 14,000 member settings who deliver care and learning to over 800,000 families every year.

In 2014, the Early Years Alliance, in partnership with Southend City Council, was awarded £40m by the National Lottery Community Fund to innovate and develop interventions to improve the life chances of over 13,000 babies and young children across Southend on Sea over a 10-year period until March 2025, this programme is being delivered by A Better Start Southend.

A Better Start Southend are looking to recruit maternity cover for their **Governance and Executive Support Officer** to oversee corporate governance practices, ensuring compliance, and facilitating effective communication within the organisation and provide a high-quality service supporting meetings of A Better Start Southend and key partnerships. This role will also provide high-level support to the ABSS Director and Senior Programme Team, including diary management.

This role will liaise regularly with the ABSS Director, Chair, Senior Programme Team and senior leaders across the partnership to support collaborative working arrangements. Working within a small team of colleagues with a high degree of autonomy, this position represents exciting career development opportunities in a professional and flexible environment. Previous experience of committee/governance management, ideally within a large charity, Health, Local Authority or other public sector setting, is essential as well as executive support experience at a high level.

This role will have a hybrid working arrangement of 2 days in the office and 2 days working from home. Specific days will be agreed with your line manager once established into the role.

**Main duties**:

- Support the Business and Planning Lead, Director and Chairs of the ABSS Governance Forums in co-producing agendas and materials for Governance Forums.
- Provide a high-quality support for ABSS Programme meetings, through the minuting of Governance meetings, accurately recording decisions and actions, in a timely manner.
- Provide support to the ABSS Business and Planning Lead, ABSS Director, Senior Programme Team and Governance Chairs with their meeting actions, to ensure actions are completed and records are updated and shared.
- Forward plan the Governance meeting cycle for 12 months taking into account the complex requirements for report approval sequencing.
- Support on all Governance matters, and plan and prepare Governance meetings, including sourcing and booking of venues, distribution of notifications, minutes and commissioned papers in the agreed timeframes and to a high standard.
- Provide high-level support to the ABSS Director and Senior Programme Team.
- Manage appointments and travel arrangements for the ABSS Director and Senior Programme Team.

**Essential criteria**:

- Achieved GCSE grade A-C (or equivalent) in English.
- Experience in the preparation and documentation of meeting minutes, showcasing a meticulous approach to capturing key governance discussions and decisions.
- Experience of working effectively as a PA/EA in a busy environment.
- Experience of working with a multi-faceted governance structure including providing support at Board level.
- High level of attention to detail and accuracy in record-keeping and documentation.
- Experience of managing and maintaining relationships at CEO/Director level
- Highly proficient in Microsoft Office Suite, in particular Word and PowerPoint
