We are looking to appoint a waiting list coordinator to our surgery admissions team. We are seeking enthusiastic, motivated people with the ability to multi-task and excellent telephone manners. This is a key role in facilitating patient's timely and equitable access to surgery.

To co-ordinate patient waiting lists in an efficient and effective manner, ensuring that patient’s waiting list information is properly and accurately maintained and that patients on the list are allocated admission dates within the Trust’s waiting time standards and in line with the Trust Patient Access Policy

To provide a full administrative function for the inpatient service and to ensure that patients are notified of admission and pre-admission dates within agreed waiting list targets including RTTtargets. Cancer Targets and Diagnostics targets.

To enter all admissions data for surgery into the ORMIS system. The data to include patient information, theatre, theatre time procedures etc.

To use appropriate booking processes to facilitate the admission of patients adding, removing and suspending patients to and from the relevant waiting list where accuracy is essential.

Ensure patients found to be unfit for surgery are correctly managed in line with the Trust’s Patient Access Policy.

MAIN DUTIES/RESPONSIBILITIES

Working Relationships
Communicate with parents/guardians, GP’s and other external organisations in relation to enquiries concerning admission dates where on occasion there may be barriers to understanding and/or communication difficulties.

The post holder will be required to communicate with and advise internally and externally with the following personnel:
Patients, relatives and their significant others
Peer group Waiting List Co-ordinators
General Services Management Team
All grades of Medical Staff
Nursing staff and Modern Matrons
General Practitioners
Clerical and Administration staff
Other NHS Organisations

Maintenance of waiting lists

To be responsible for ensuring all relevant information is accurately recorded on to the Patient Administration and Theatre Systems where attention to detail is essential to:

- Check and update patient information
- Register new patients
- Request and distribute computer print outs
- Request patient letters
- Add patients to waiting lists
- Allocate TCI dates
- Record 18 week wait clock and treatment status for each patient
- Check and up-date Inter Provider Transfer data

Ensure all recorded procedure codes are correctly identified and entered into the Patient Administration System.

To use appropriate booking processes to facilitate the admission of patients adding, removing and suspending patients to and from the relevant waiting list where accuracy is essential.

Ensure patients found to be unfit for surgery are correctly managed in line with the Trust’s Patient Access Policy.

Assist the Admissions Manager, Operational Manager and Service Managers in the administration and monitoring of the waiting lists in accordance with Trust guidelines identifying any potential difficulties in a timely manner.

In liaison with the Operational Manager review clinical timetables and amend theatre lists according to clinical availability.
