Conveyancing Assistant - Hornchurch
SJC Partners are working with an award winning law firm who are looking for a Conveyancing Legal Secretary / Assistant to join their team in Hornchurch.
**The Role**:
The prime role of the Conveyancing Assistant is to provide direct support to his/her fee earner to enable them to operate at optimum efficiency.
Undertake certain elements of fee earning work under supervision. In particular:
- Preparing reports to clients
- generation of suitable client care correspondence;
- completion of client questionnaires;
2. The jobholder is not designated as a matter handler for file review purposes and does not therefore have her/his own file caseload.
3. Deal wherever possible with routine client enquiries and communications.
4. Assist in absence of others, passing urgent issues to another senior fee earner for guidance if necessary.
5. Co-ordination of the key dates reminder system as outlined in the office manual if appropriate.
6. Any other task resonably requested by the Partners.
7. Prepare correspondence and documents through audio-typing and word processing.
8. Administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the office manual.
9. Prepare mail and enclosures for dispatch.
10. Arrange for all copying to be done, in person if the office assistant is not available to undertake the task.
11. Make appointments, arrange meetings and to maintain an up to date diary for his/her principal.
12. Provide refreshments when asked to do so.
13. Provide support to secretaries as required.
14. Provide guidance to junior and temporary secretaries when required to do so.
15. Attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm’s standards for client care.
16. Undertake any specific training when required to do so and overall to have a responsibility towards self-development.
17. Ensure the confidentiality of all the firm’s and clients documentation and information.
