**Job Description - Patient Access Supervisor**

**JOB TITLE: PATIENT ACCESS SUPERVISOR**

**RESPONSIBLE TO**:Patient Access Manager and Practice Manager

**RESPONSIBLE FOR**:n/a

**JOB PURPOSE**: **Work with the Patient Access Manager (PAM) to ensure the smooth running of the reception team**
- Be the first point of contact for GPs and others in the Patient Access

Manager’s absence
- To provide a high quality service to patients, doctors and other members of the Primary Health Care Team

**MAIN DUTIES AND RESPONSIBILITIES**

**1. **Greet patients and visitors to the practice in a positive and professional manner

**2. **Book in patients and visitors in line with practice appointments and visitors procedures.

**3. **Respond and/or redirect all patient and visitor requests accordingly.

**4. **Ensure computerised appointment system is up-to-date.

**5. **Liaising with attached staff, ARRS staff and other agencies.

**6. **Booking, amending and cancelling patient appointments.

**7. **Set-up of new patients onto the computer system.

**8. **Preparation and distribution of completed prescriptions.

Answering incoming telephone calls, ensuring patients are signposted appropriately following the
**9. ** call decision making procedure.

**10. **Preparation of pathology form for phlebotomy clinics

**11. **Liaising with Managing Doctor throughout the day to identify any issues

Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient
**12. ** notes).

Line management of the Reception Team in PAM’s absence for example managing HR issues
**13. ** including Return to Work interviews

**14. **Work with PAM in preparing rotas ensuring all reception shifts are adequately covered

**15. **Work with PAM to populate forecasting schedules flagging up any resource issues to PAM or PM

**16. **First point of contact for patient complaints in PAM’s absence

**17. **To review reception recorded calls and provide feedback and coaching
