**Workshop Coordinator**

Hours: 25 hours per week ( Monday to Friday)

Suttons Tankers is looking to recruit an experienced Workshop Coordinator for our Widnes Workshop. We are looking for someone with fantastic customer service skills to work within our busy and well established depot. You will be expected to act as front of house for our customers, liaising with the workshop, assigning job cards, planning incoming work, assist in optimising the workflow of the workshop so that jobs are ultimately managed and progressed to completion in a timely and efficient manner.

**Responsibilities**
- Manage customer bookings and customer management of third party including invoicing
- Liaise with external and internal customers to ensure work is authorised.
- Monitor job cards and service documentation for completeness and accuracy.
- Costing and Building Customer Invoices
- Strengthening and developing long term customer relationships.
- Taking responsibility for all aspects of customer service, dealing with any issues in a professional and timely manner.
- To ensure the escalation of any occurrences where assets are not presented for the required scheduled event
- Assisting in the flow of work for the team into the workshop through allocating work as required, making sure required customer deadlines are met.
- Keeping customers fully and regularly informed of any changes to costs and expected completion timescales
- Ensuring all associated administration is completed to a very high standard
- General administrative duties which include liaising with engineers from the workshop and keeping them working at all times
- Updating of spread sheets and workshop systems, issuing, and tracking workshop jobs. Recording the job information and times.
- Ensure all service and inspection documentation is correctly completed.
- Creating and maintaining professional relationships with Workshop Managers and Team Leaders.
- Inputting costs and invoices onto the system

**Person Specification**
- Excellent verbal and communication skills
- The ability to communicate and interact well with Suppliers and colleagues (Verbal & Written) to maintain good business relationships.
- Previous fleet or workshop administrator experience would be an advantage but not essential
- Numerate with excellent attention to detail
- Excellent time management and organisational skills
- Can do attitude to solve problems and address solutions for both the transport department and the business.
- Excellent IT skills, including the use of Microsoft Office packages.
- Ability to remain calm and professional
- Able to work under pressure in a busy environment.
- Confident and driven, possessing a desire to ensure high standards are always met.
- Open approach to learning and development
- Flexible for holiday cover & sickness
