Document Controller

The main purpose of the role is to develop & manage internal Document Control systems such as Fieldview, Viewpoint and Sharepoint. This will include training of all internal & external staff, reporting on the system and developing processes/workflows.
- Location: East Kilbride
- Salary: Depending on experience - attractive package
- Working Hours: Full-time 8am - 5pm Monday to Thursday and 4pm Friday
**Main Duties**
- Act as the main point of contact for all drawing and document control issues.
- To ensure evidencing of the Golden Thread in line with the Building Safety Act.
- Ensure office filing systems are up to date in line with GDPR / client contracts and modify accordingly.
- Be able to utilise knowledge and experience to ensure quick solutions are provided.
- Ensure that all information is recorded and retained accurately on central document management system.
- Review and control of document management protocols.
- Archiving historical and superseded documentation.
- Assist Design Managers/Co-ordinators and project teams in document management.
- Clear communication of expectations for documents management with designers / design sub-contractors.
- Production of weekly report of site / project specific information for managers and circulate accordingly.
- Monitoring of design technical queries and distribute to the relevant person for resolve.
- Completion, maintenance and monitoring of records.
- Ensuring proper records maintained for document distribution.
- Compilation of O&M Manuals & Handover Packs.
- Carrying out training sessions and demos to all users (internal & external).
- Responsible for ensuring that all information captured is in line with the Building Safety Act/Golden Thread.
- Regularly auditing the Document Control systems and escalating where appropriate.
- Regular travel to site to train site teams and offer any additional support.
- Any other reasonable management request.
**Skills/Knowledge/Experience**
**Essential**
- Previous Document Controller experience.
- Process orientated.
- High level of organisation skills.
- Excellent communication skills.
- Strong Microsoft Office experience
**Desirable**
- Knowledge and experience of the construction industry.
- Knowledge and experience of Document Management toolsets.
- Previous experience using Viewpoint for Projects & Field View.

- Confidentiality in handling sensitive data and able to work in line with GDPR regulations.
- A confident and adaptable communication style.
- A self-motivated conscientious approach but with the ability to work as a team at all levels.
- Effective organisation and planning skills with the ability to meet tight deadlines.
