**The Opportunity**:
We currently have an exciting opportunity for an Aviation Claims Coordinator to join our Aviation Claims Support Team based in Heathrow.

Reporting to the Regional Director of Claims, the primary focus of the role will be to act as the first point of contact for all incoming enquiries from external customers and to support the Aviation claims workload with all aspects of claim progression from inception to completion, by providing a high level of customer service, secretarial and administrative support.

**Your Responsibilities**:

- Support Aviation Surveyors - receive and action new claim files, review documents for their relevance, monitor, and assist management of claim files ensuring instructions and processes are in line with account handling requirements.
- Assist with compiling / drafting reports from provided data, conducting research for the reports to be completed in standard formats and variations under instruction.
- Build a good working knowledge and basic understanding of standard aircraft technical terms to be able to communicate effectively with Surveyors and customers alike and in order that returned documentation is completed as much as possible.
- Arrange meetings and briefings ensuring all equipment, security clearance and general housekeeping needs are covered, as and when required.
- Take accurate minutes or notes of meetings, as and when required and provide these in an accurate and timely manner.
- Liaise with external travel agency and compare flight and accommodation prices and standards against own research - on authorisation book travel arrangements, prepare business itineraries and book appointments.
- Ensure timely issue of fee earner’s invoices with awareness of chargeable hours and that all hours are captured.
- Implementation and adherence to office processes in line with McLarens One requirements, Survey Instructions and the Quality Control requirements (ISO9001) - maintaining general awareness and adherence of these.
- Undertake some fee-earning work (after a period of training) and record your time for allocated tasks and suggest additional ways of generating income.
- Consistently strive to improve the performance, output and customer service delivery to internal and external customers alike.
- Provide backup and support to other Claims Coordinators as and when required for all areas of work.
- Other ad hoc duties as and when required.
- Perform Sanctions Checks as per Client requirements.
- Draft payment forms for open cases on own initiative (after a period of training) for Surveyor sign off.
- Liaise with Underwriters regarding fund top ups, queries, etc. and be proactive in arranging for new Funds to be created as required.
- Check and action incoming post as appropriate.
- Provide regular customer required routine reports on time and accurate.

**About You**:

- Experience of working in a similar account management/administrative role within a busy team environment.
- Enthusiasm for aviation.
- Experience of delivering outstanding customer service to clients.
- Advanced IT skills in MS Office 2010 including Outlook, Excel and Word (able to track changes, insert photos and set-up templates) and Internet Explorer. Intermediate PowerPoint skills.
- Proficiency in English grammar and spelling, ability to draft standard correspondence in all claims related areas.
- Ability to conduct independent project related research and to present it in a paper or PowerPoint format.
- To be a fully committed team player assisting any position within the department where applicable, both on own initiative and as requested and sharing information within the support team.
- Confident and proactive and have a flexible and positive 'can do’ attitude.
- Attention to detail, accuracy and formatting.
- Ability to multi-task, prioritise and work well under pressure.
- To demonstrate, improve and build on interest and knowledge in the Company and the Insurance Market.
- Ability and willingness to self-learn to build on existing competences and knowledge.
