**Service Context**
Just Psychology CIC is a social enterprise that provides services to address the psychological and mental health needs of children, adults and families with a particular emphasis on cultural diversity and cultural competence. We deliver a range of services including:

- Direct therapeutic interventions with children, parents, families and other adults;
- Capacity building within statutory and third sector agencies (eg training, supervision, consultancy);
- Prevention and early intervention at a community level; and
- Legal work with children and parents

**Hours**: 22.5 per week (part time, 0.6 FTE) - there is flexibility as to how these hours are worked
**Starting salary**: £12,900 (FTE is £21,500)

Summary
To actively assist and support the administration of Just Psychology’s services and projects and to support the Leadership Team in the management of all aspects of Just Psychology’s work and operations.

Key Responsibilities

1. Providing a high standard of administrative support to the organisation by production of all necessary correspondence.

2. Ensuring efficient and effective office organisation including filing systems, equipment monitoring and general maintenance.

3. Keeping databases up to date.

4. Providing administrative support to project leads across JP services.

5. Booking, venues, creche and interpreters as required, liaising with all relevant parties to ensure all requirements are met in a timely manner.

6. Assist with the administration related to the recruitment of staff, e.g. managing correspondence, compiling and sending recruitment packs, advertising vacancies etc.

7. Support internal systems and monitoring submission processes to consistently ensure timely and accurate reporting e.g. managing, following up and reporting on missing data.

9. Supporting the day-to-day responsibilities of the organisation via the maintenance of diaries and calendars, dealing with messages and enquiries, arranging appointments and organising events, etc.

10. Providing general reception duties; dealing with visitors, enquiries, calls and clients promptly and in a professional manner.

11. Servicing and attending meetings as required. This may include room/venue bookings, taking minutes, notes and actions, as well as producing and circulating these in a timely manner post meeting, and preparing relevant meeting paperwork to circulate to members.

12. Willing and keen to learn, using initiative to support and develop procedures to facilitate and maximise an effective and efficient service.

13. Liaising effectively in a pleasant and professional manner with all external agencies including any statutory and third sector services, legal agencies, etc.

14. Ensuring all staff (including associates) are kept fully informed and updated with regard to all the organisation’s policies and procedures.

15. Assisting with the implementation of organisational policies and procedures.

16. Become familiar with and comply with all Just Psychology policies as appropriate.

17. Maintaining, in a discreet and professional manner, the confidentiality of client data at all times.

**A Qualifications and Experience**

1 GCSEs and A-Levels (or equivalent) (Essential)

2 An appropriate NVQ level 2, working towards level 3 (or equivalent) (Essential)

3 Evidence of personal and professional development (Essential)

4 A background in office and/or business administration (Essential)

**B Skills, Knowledge and Abilities**

5 Ability to work on own initiative and problem solve, with a positive and ‘can do’ approach (Essential)

6 Ability to work to deadlines - identifying, clarifying and agreeing deadlines as required (Essential)

7 Taking responsibility for own work, the ability to prioritise and manage own workload and prioritise work in line with organisational needs (Essential)

8 Keen awareness of equal opportunities policies and legislation - and the implications of these in the workplace (Desirable)

9 Ability to set up and maintain databases (Essential)

10 Experience of Customer Relationship Management (CRM) systems (Desirable)

11 Good office administration skills (Essential)
