Reporting directly to the Head of People Operations, this role is responsible for ensuring that all processes and working practices requiring central management are delivered and meeting agreed expectations and compliance. This role will also be a key contributor in providing first line HR advice and guidance to Operational Managers remotely, with occasional travel expected.

This role can either be based from our office in Shrewsbury, Shropshire or Redhill, Surrey. This is a hybrid role and would be based in the office 2-3 days per week. If you are based from Redhill, a driving licence and use of a car is required as our office has no pedestrian access.

**HR Admin**
- To work with the HR Admin team to ensure all new starters are legally compliant before commencement ie all documentation has been requested and returned timely, implementing processes to review and assess performance standards.
- Ensuring the HR Admin team central trackers for document returns that support new starters, including references and DBS are maintained and up to date.
- Supporting the Admin team with high volume activity as required and providing guidance and a consistent approach to process.
- To manage the SAR, GDPR incident and breach processes for all employer / employee related GDPR matters and ensure all activity is tracked centrally and appropriate processes are applied within the required timelines with stakeholder visibility.
- To maintain the GDPR tracker of activity reported and in conjunction with HRBP sponsor.
- To carry out a quarterly audit of personnel files (spot checks) and recruitment data to ensure compliant and in line with GDPR.

**Compliance**
- To lead on all DBS activity and take ownership for compliance, being the expert within the HR team. This includes ensuring the HR Admin team issue DBS renewal data to Operational Managers at least 8 weeks before renewals are due and providing monthly reporting / visibility is shared with all relevant stakeholders. Where non compliance is highlighting risk, this must be escalated to Head of People Operations/CPO timely.
- To manage stakeholder expectations and operational challenges where start dates for new colleagues are delayed as a result of delayed DBS or reference returns, resulting in non-compliant commencements being non-negotiable.
- To lead on DBS project activity, including consideration of DBS update service and any associated process and policy changes required.
- To undertake people compliance audits to ensure compliance with contractual and CQC requirements and report any areas of risk to the Head of People Operations/CPO.
- Support any audit activity required by being the point of contact for preparation and sourcing documentation etc.

**ER Activity / HR Advisory**
- To support the HRBP’s with increase in activity ie ER activity support across our national base locations, re-organisations, redundancy and HR skills training delivery.
- To update and manage a full suite of ER templates for all relevant people processes.
- To actively manage all sickness absence related activity resulting in Occupational Health/GP reports in conjunction with the Operational base Manager, providing monthly visibility of progress and cases being managed.
- To provide monthly MI to the HOPO, CPO, HRBP’s and other agreed stakeholders.
- To provide TUPE administration support as required and work in partnership with the relevant HRBP and other stakeholders.
- To assist the HRBP’s with any ER and Advisory training to the Operational Management team and HR Admin team.

**Policy, Procedure and Process**
- To agree with the HOPO a priority order of reviewing existing policies and procedures and being involved in drafting new / or updating.
- To assist the HOPO and HRBP’s with any training requirements, updates and communication required for the business when reviews and updates have taken place.
- To participate in producing a suite of template documents for all things HR related and ensure these remain up to date with legislation and policy.
- To support the HOPO with administrative related activity supporting EC’s, SA’s, COT3’s.

**Reporting and MI**
- To provide various monthly reports and data for agreed stakeholders ie MI people data, DBS reporting, starters, progress on sickness absence trackers and to use initiative to consider action required when reviewing monthly MI report.
- To take ownership of the HR MI reporting and distribute monthly raising non-compliance concerns.
- To assist the HRBP’s and Operations teams with any ad-hoc people reporting when required.

**Skills and Experience**
- Previous HR experience, preferably within an environment with multiple stakeholder responsibility.
- A good understanding of current employment legislation and how to apply.
- A keen eye for detail and experience in developing process and policy guidelines.
- Ability to pro-actively obtain support in terms of your own development and knowledge gaps.
