An exciting opportunity has arisen within the Oxon Specialist Perinatal Mental Health Service for an administrator who can provide comprehensive administrative/secretarial support to the members of the team. The SPMHS provides a comprehensive multi-disciplinary service to individuals living in the Oxfordshire locality who require secondary mental health services.

The nature of this key role is often very challenging and demanding and it is necessary to handle this confidently with compassion, patience and professionalism. Good communication skills are essential to this role when dealing with patients, carers, colleagues and other professionals.

To provide secretarial and administrative support to the Perinatal Service members as required.

This roles involves booking appointments, liaising with our service users, other professionals, answering the telephone and general administrative duties, whilst supporting the day to day operation of the service.

The applicant will demonstrate good communication skills, administration experience and a knowledge of word, excel and preferably Rio although full training will be given. A good understanding of e-procurement would also be an advantage but not essential.

The Oxon Specialist Perinatal Mental Health Service works with women who are pregnant and up to 1 year post birth (aiming to increase to 2 years in the near future). As a service we offer a range of interventions including ViG (video interactive guidance), groups, Psychological Therapies, Specialist Mental Health guidance and treatment. We are a relatively new service and have been supporting women with mental health difficulties for 4 years.

The Specialist Perinatal MH Service covers all of Oxfordshire County. The team is headed up by a committed and dedicated leadership team who will support you and your colleagues to deliver the quality of care we expect of all our staff. Regular supervision will be provided and you will be encouraged to undertake any training relevant to your personal development.

DUTIES AND RESPONSIBILITIES

2. Trust policies, procedures and guideline - It is a condition of your employment that as an employee you are expected to adhere to our policies, procedures and guidelines. These can all be found on the Trust’s website.
3. Provide a high standard of administration and secretarial support to the medical team/perinatal service and to provide support to the perinatal administrators with the typing of reports, letters and correspondence when required and to be responsible for the filing of patient information onto Care notes/e-forms and other systems.
4. To provide a polite and efficient reception service to visitors if required.
5. Organise own workload and act independently within appropriate guidelines.
6. Order, check, maintain and distribute equipment and supplies for the team and other agencies as required.
7. Filing and photocopying and distributing and redirecting mail.
8. To accurately type and distribute correspondence, minutes and other documents.
9. To take accurate action notes and minutes as required arranging meetings and maintaining diaries.
10. To arrange meetings and maintain diaries.
11. To assist other team members in their work as required, provide cover for reception and clerical team members and provide cross cover within the directorate and across the Trust as required.
12. Contacting the Estates Department to carry out repairs, checking work has been undertaken to satisfaction and recording on computer database.
13. Keeping notice boards tidy and up to date and adding anything of interest or importance to staff.
14. Recording and posting accident forms to Health and Safety Department.
15. To carry out any other duties as requested by the Team Manager/Deputy Team Manager/Office Manager to ensure the quality of service provided by the team.

The Oxon Specialist Perinatal Service operate 5 days a week. Post holders working within the SPNMHS may be expected to work flexible hours to cover the working hours of the service. Administrative staff currently work: 09:00 to 17:00 Monday-Friday at the admin base in Headington, Oxford.
