Overview of Role

To provide administrative support to the secretaries within the team.

**Responsibilities**:
Administration
- Pipeline submission, share price watch, keep team diary updated, track team absences (holiday/sick/maternity/paternity etc)
- Coordinate List of Parties, complete insider lists and update client contacts
- Assisting with the arranging of closing dinners and other client/internal events
- Liaising with accounts collating information to produce client invoices
- Undertaking research as requested
- Printing/scanning/organising documents using DPC (Document Procurement Centre)
- Organising Business cards
- Assisting with tombstones and couriers
- Maintaining appropriate office supplies (stationery supplies, printers etc)

Meeting Co-ordination
- Organising meetings and calls (internal/client, liaising with other secretaries accordingly
- Being aware of potential meeting conflicts and differing time zones
- Booking meeting rooms, catering, external venues, equipment

Travel
- Organising international/domestic travel using our in-house travel provider
- Arranging itineraries, visas, airport transfers, hotels

Expenses
- Collate and process expenses using Concur in a timely manner

Communication
- Ensuring that all calls and oral communications are appropriately recorded and dealt with without delay
- Liaising with clients, external companies, other teams and Rothschild offices

Teamwork
- Working closely with other secretaries in the direct team and across the wider division, provide
- cover and assist as directed

Experience, Skills and Competencies Required
- Good knowledge of Outlook, Microsoft Word, Excel and PowerPoint
- Effective communication skills
- Pro-active attitude with the ability to demonstrate initiative, attention to detail and reliability
- Self-motivated, reliable with a flexible attitude
- Ability to act with good judgement and common sense
- Good team player
