**Hours of work**: 17.5 hours a week, salaried, with option for additional hours via ad hoc timesheets. Mostly weekday daytime, as well as some evenings and weekends.
This role is partly a job share with the other Administrators and includes some event stewarding.
Alternative work patterns and responsibility allocations will be considered across the administrative function.
**Rate of pay**: £20,130 pa FTE, Scale point 10
**Holiday allowance**: 20 days per year, plus bank holidays (pro rata)

**PURPOSE**:
The Administrator is part of a small team of Administrators, providing administrative support across all functions, specifically focussing on the administration of HR and staff onboarding processes. The role also offers a blend of generalist administration support including supporting the delivery of our series of free weekday Lunchtime Concerts in the Carole Nash Hall as an event steward and Door Supervisor (SIA training will be provided).
The postholder is the primary interface for recruitment and onboarding of new starters, and will work closely with the School’s HR, Administration, Finance and Operational Services, connecting the Stoller Hall into the wider organisation.
The post holder will ensure the office runs smoothly, staff are available as needed, and will undertake their duties with reliability, accuracy and a meticulous eye for detail.
They will be highly flexible in their working pattern and be a core member of the front of house event delivery team, available to support as needed during daytime, evening and weekend event shifts.
The role can expect a weekly division of duties to be, in the region of:
- 50% HR and other administration
- 25% to 50% Events delivery
**KEY RESPONSIBILITIES**:
General Administration:
- Being the first point of contact to chaperone visitors and support them whilst on site (for example maintenance contractors, deliveries and event organisers)
- Maintain and regularly update the master records for events, including the detailed ‘Master’ events log, and the genre-focussed forward planners - ensuring they are accurately maintained, aligned with the event management software (Artifax) and up to date and available as needed
- Maintaining weekly schedules for the security teams, ensuring they receive information about planned events and parking requirements in an accurate and timely fashion
- Management of the Stoller Hall shared diary, checking cover is available as required, desk space is available for those who need, and holiday cover is carefully planned
- Maintaining office stationery supplies
- Looking after the paper and digital filing systems for the whole team, supporting and improving processes wherever possible
- Supporting the Marketing Manager with the management of print supplies, keeping leaflet racks updated, maintaining box office stocks, refreshing posters etc
- Managing the short-date kitchen stock - for both the front of house and back of house kitchens - purchasing milk, artist riders and other sundries when required
- Supporting the weekly operations meeting with proactive contributions to the meeting as well as preparing pre and post meeting notes and action logs
- Management of lost and found property, including interface with customers to re-unite items with their owners
- Provide a final check in the event function sheet process, sense checking that all detail is available that the event staff will need, and that documents are completed and stored in the right locations in a timely fashion
HR Administration:
- Having an up to date and sound knowledge of the School’s recruitment processes and diligent following of Safer Recruitment practices
- Leading the administration of recruitment for Stoller Hall staff, in line with safer recruitment practices
- Maintaining job advertisement sites and our own websites with current vacancies
- Scheduling and supporting interview processes (including attending interviews and taking notes for event staff)
- Undertaking training in safer recruitment practices and carrying out safer recruitment interviews and checks with staff in the recruitment process
