**Retail Operations Coordinator**
**Position Summary**
To support the Retail Operations team in the day to day running of the department.
Responsible for providing operational support to our Free-Standing Store and concession estate, via the department helpdesk and inbox.
**Store support: Daily Helpdesk cover for phones and inbox**
- Advise stores on all ELC operational processes, procedures & policies
- Transaction processing - Check live payments via the payment processor to avoid duplicate payments/underpayments. Advise on corrective actions.
- Troubleshoot transaction processing queries (manual discounts and returns)
- Regularly report on discount activities such as “Blue light”, VVIP and Carrier bags to ensure correct monies are paid.
- Ensure all FSS have working back-up payment terminals and are fully PCI compliant. Order replacements and support with installation where required.
- Diverting queries pertaining to technology, security, health and safety or property services accordingly.
- Deal with appointment booking queries and troubleshoot issues
- G4S Cash collections service - Maintain service planners, escalate issues accordingly.
**Financial reconciliation**:
- Responsible for reconciling of the bank accounts, working closely with stores to understand and solve variance.
- Cash variance reporting
- Regularly review the chargeback portals to dispute any retail claims against us
**Stock management**:
- Support in arranging bi-annual external stock counts in all locations including online warehouses & concessions
- Monthly cycle count reporting and investigations.
- Reporting of the draft movements and receipts to ensure stores real time inventory figures are accurate.
- Approving corrective stock movements for discrepancies in a timely manner.
**Supplier liaison**:
- Liaise regularly and maintain a supportive partnership with our suppliers such as: Click & Collect provider, Payment provider companies and Third-party stock take company.
**New store opening/closures/relocations**
- Manage the Retail Operations opening checklist to ensure FSS are set up with all the correct payment methods on their integrated and backup terminals
- Support in the close of down of any sites or locations to ensure stock returns are smooth and all payment terminals are returned, and contracts terminated.
- Support any ad hoc events: Be the main point of liaison. Co-ordinating with the brands/departments on their operational needs and ensuring all are aware of the end-to-end process with regards to payment, stock and operational procedures. Collation of the financial information from the event.
**General admin**:
- Collection of the post, filing, collation and update of month end information. Overseeing shredding of confidential paperwork.
- Ordering of supplies such as till rolls, manual Receipt pads
- Maintaining banking information, ordering, and replenishing store banking books and other supplies.
- Maintaining PO’s and overseeing the good receipting confirmations
- Raise Gift Card orders for stores & online
- Build collaborative relationships with internal departments such as Consumer Care, IT & Finance.
- Maintain our master document with up-to-date information on all stores including online warehouses
- Other adhoc tasks to support the team
**Qualifications** Knowledge, Skills & Experience**
- Good communication and organisational skills
- They will have a good knowledge of Excel and the Microsoft office suite
- Ideally, they will have experience of working in a fast-paced retail environment or of working in a retail team in a head office environment.
- Excellent customer service skills
- Good time management and prioritisation skills
