**Department Insights**

RWE Supply & Trading is the interface between the RWE Group’s operating companies and global wholesale markets for energy-related commodities as well as the hub for all tradable commodities, in both their physical and/or derivative forms. This includes power, gas, coal, freight, oil, weather derivatives, biomass, emissions certificates and renewable energies. RWE Supply & Trading is responsible for the economic optimisation of power generation and the entire non-regulated gas business of the RWE Group, including all procurement, storage and LNG-related activities.

The headquarters in Germany, Essen boast Europe’s largest energy trading floor, complementing the network of additional trading floors in London and Swindon.

**Main Purpose of the Role**

This post will involve regular interaction with senior management, team leads and other internal teams within RWE. The successful applicant will be required to provide a comprehensive range of administrative duties to support all UK teams within RWEST IT.

**Key Responsibilities**
- Maintain an accurate and up-to-date SharePoint site for RWEST IT
- Maintain up-to-date distribution lists based on monthly IT Org Chart and JML changes
- Support the wider IT teams with administrative and travel queries
- Organise and chair the IT PA/TA Monthly Meetings and record actions
- Organise department events such as quarterly Webcasts and Lunch & Learn sessions
- Maintain the Visitor Log for RWEST IT German colleagues visiting the UK
- Liaise with Procurement to raise purchase orders to ensure timely payment of invoices
- Maintain Stationery Room stock levels and monitor expenditure to keep within annual budget
- Assist in organising the annual Architecture Community Conference, the bi-monthly RWE Swindon Software events and other conferences, workshops and team building events
- Administrator for RWEST IT usage of the company’s online training platform (Pluralsight)
- Support the PA to the Head of IT with holiday cover and any ad hoc requests

**Knowledge & Skills**
- Excellent organisational skills with a high level of attention to detail.
- Proven administrative and office support experience, ideally 3+ years in a similar position.
- Ability to prioritise and manage multiple tasks seamlessly and effectively.
- Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint and OneNote), preferably with good knowledge in Excel and PowerPoint
- Discretion and trustworthiness with high confidentiality; able to handle confidential information.
- Reliable, proactive, motivated and confident with the ability to work independently and as a team player, maintaining an effective working relationship with a wide range of people.
- Flexible and adaptable in approach to work with the ability to deal with short notice changes under time pressure.
- Experienced in working in international teams and working in a multicultural environment.
- Strong communication skills to collaborate with various stakeholders.

**Advantageous, but not a must**
