**Job Summary**

Pioneer Projects is a specialist Community Arts and Wellbeing organisation that works across the Craven District of North Yorkshire. We deliver activities aimed at the whole community alongside specialist delivery for those experiencing poor mental health and people living with dementia and their carers. Creativity is at the heart of our work and we use creative engagement to enable people to express themselves and improve their confidence and self-value. Regular delivery takes place in High

Bentham, Settle, Skipton and Glusburn, supplemented by time limited activities at other locations and sessions online. We also lead on a number of key local partnerships in the Craven District including the Compass in Craven VCS E-hub and the Craven Mental Health & Wellbeing Hub network. In addition, Looking Well Studios is home to Bentham Community Library and Pioneer Projects manages the library and its team of volunteers.

We are looking for a personable, organised, enthusiastic and motivated Administrator to provide administrative support for the work we deliver throughout Craven, and assist with the day-to-day running of Looking Well Studios in Bentham under the direction and management of the Operations Manager.

**Main Duties and Responsibilities**:

- Undertaking the reception role to respond to telephone and online enquiries, provide a welcoming presence for people calling in to Looking Well Studios, and ensuring that all enquiries are referred on to the appropriate member of staff
- Supporting the hospitality needs of participants and visitors including maintaining oversight of their health, safety, and welfare whilst on the premises
- Assisting the Operations Manager in overseeing building use and the smooth day-to-day running of Looking Well Studios by being the central point of contact for all those using the facilities including library staff and volunteers, ensuring, as far as possible, that they are supported when required
- Managing the room-booking system for Looking Well Studios liaising with external room hirers
- Maintaining and updating databases of information relevant to the functioning of Pioneer Projects, including up-to-date contact details of artists/session leads, organisations, health professionals, volunteers, venues, publications, and participants
- Providing administrative support for Pioneers’ programmes of project activity such as our Mental Health Hubs, Wellbeing Cafes, Dementia sessions, Creative

Wellbeing Community Sessions and Library activities including collating/co
- ordinating registers and post session evaluation and feedback forms, and updating promotional material
- Providing administrative and organisational support for the monitoring and evaluation of Pioneer’s programme of project activity, including collating qualitative and quantitative data relating to activity, attendance and wellbeing, skills, and progression outcomes
- Maintaining an administrative overview across the wide spectrum of projects that the charity delivers
- Updating information to and extracting data from the Compass in Craven E
- Hub (training will be provided)
- Supporting the flow of information about Pioneer Projects by communicating verbally, in writing, and using Compass in Craven eHub to promote the programme of activities on offer
- Supporting the use of social media and updating the website and other publicity materials including Mail chimp
- Co-ordinating transport for participants where required
- Providing administrative support to the recruitment and development of volunteers
- Working with the Operations Manager to support the office IT network and liaise with IT support as necessary to maintain the efficiency of the systems
- Ordering of stationary, supplies and materials
- Managing petty cash systems

**Criteria Essential Desirable**

QUALIFICATIONS

Minimum GCSE English & Maths, NVQ level 2 or equivalent
- Appropriate professional qualifications/training
- EXPERIENCE

At least 3 years administrative experience
- Experience of Excel and databases to monitor and extract data
- Experience of using social media
- Working with volunteers
- IT literate (including MS Office and Microsoft Outlook, publisher)
- SKILLS
