**Parish of Bracknell and St Margaret Clitherow**

**Parish Administrator - part time 30 hours per week**

**(Job would be suitable for either one post-holder to work all hours or a job share with two post-holders)**

**Salary - £12 per hour**

A vacancy has arisen for a Parish Administrator to work for 30 hours per week to provide a full clerical and administrative support service to the Parish clergy, the parish, and support the administration of day-to-day parish work and provide a sympathetic focal point for enquiries.

Hours of work: 9 am to 3pm Monday to Friday

**Experience and qualifications required for role**:

- Experience of working independently in a busy environment with many competing demands on time.
- Experienced Administrator with good administrative, time management and prioritisation skills
- Able to deal sensitively and confidentially with difficult situations.
- Computer literate, with experience of Office 365 including excel and outlook, and experience of using the internet and intranet.

- Sympathetic to the ministry and mission of the Catholic Church;
- Self-motivated and flexible, with ability to work on own initiative and judgement without supervision or support from colleagues or team, able to cope with change and work under pressure;
- Diplomatic, discreet, with a sympathetic nature and emotional resilience;

**JOB DESCRIPTION**

**Purpose of Role**:
To provide confidential administrative and secretarial support to the Parish Priest and all other parish departments, being a hospitable and welcoming focal point for all enquiries.

**Hours of Work**:
Monday - Friday, 9am-3pm _(either one person all hours or two people sharing)_

**Occupational Requirement**:
Part 1 of Schedule 9 to the Equality Act 2010 applies to this post with respect to religion. The post holder must be a practising member of the Catholic Church who lives its ethos and teachings.

**Location**:
Parish Office at St. Joseph’s Church, Bracknell.

**Responsible to**:
Parish Priest of the Bracknell parish and the wider South Berkshire Pastoral Area.

**Main Responsibilities**:

- Provide full clerical and administrative support as and when needed by the Parish Priest including multi-diary management.
- Deal sensitively and confidentially with members of the parish and any visitors or enquirers.
- Be the focal point for all funeral related enquiries, working with the local funeral directors to provide compassionate support to the bereaved family.
- Work effectively with Ministry leaders and volunteers and provide administrative support where necessary.
- Support the updating of Church Registers and management of office records, documents and manuals.
- Produce weekly parish newsletter and associated notices for the weekend and weekday Masses, liasing with parish webmaster and social media/communications team.
- Manage purchasing and stock control for all administrative and liturgical supplies and ensure prompt payment of invoices.
- Support the management of Car Park Subscriptions.
- Support the implementation of all current diocesan policies concerning health and safety and safeguarding but not limited to these.
- Manage maintenance contracts, arrange for office/site equipment to be repaired where necessary and arrange inspections to ensure that statutory requirements are met regarding health and safety at work.

**Person Specification**:

The person appointed will:

- Be a practising member of the Catholic Church who lives its ethos and teachings. (Part 1 of Sch 9 to the Equality Act 2010 applies to this post with respect to religion).
- Have experience of active involvement in parish life.
- Be committed to the mission, vision and purpose of our parish and eager and willing to be part of it and contribute ideas towards it.
- Be an experienced administrator with excellent secretarial, organisational, IT and all-round office skills.
- Have exceptional interpersonal skills of welcome, hospitality, listening and communication, whether on the phone, face to face, or in written form.
- Be self-motivated, flexible and able to multi-task, with the ability to work under pressure, deal with conflicting demand
