**Job summary**
Derwent Practice has an exciting opportunity for a Medical Receptionist to join our GP Reception team at our friendly, family GP Practice based in the heart of Malton, North Yorkshire.
Hours of work:
- Monday 13.00pm - 19.00pm
- Thursday 14.00pm - 19.00pm
- Friday 08.00am - 16.00pm
- Saturdays on a rotational basis.
Experience of General Practice is desirable, but not essential as training will be provided.
The role of the Medical Receptionist role can at times, be very demanding so we are looking for someone who is confident, has excellent communication skills, is highly organised and good at multi-tasking.
Duties and responsibilities:
- To assist the doctors and nurses to provide a good standard of primary healthcare for patients in a professional and confidential manner.
- Maintain the computerised appointment system and monitor flow of patients into consulting and treatment rooms.
- To be able to respond to all queries and requests for assistance from patients.
- To advise patients of charges for private services, accept payment and issue receipts.
- To handle ‘urgent’ calls in a logical and calm manner and allocate visits.
- Management of medical records - to retrieve and file records as required. Assist with the scanning of correspondence, reports, results etc. ensuring documents are scanned in the correct records.
- Ensure paper records are kept neat and tidy and in good repair.
- Manage all calls through the main switchboard, obtaining the appropriate information to transfer the calls correctly.
- Receive and make telephone calls, divert calls and take messages as appropriate.
- To be familiar with the start of day and end of day procedures.
- Provide cover for colleagues during holiday and sickness absence.
- Work flexibly within the reception team to cover all aspects of reception work.
- To provide a reception service to patients collecting prescriptions from the Practice.
- Assist with any other administration tasks within the practice.
- Any other duties as delegated by the management team and Clinical / Medical team.

In the performance of the duties outlined in this Job Description, the post-holder will have access to confidential information relating to patients and their carers, Practice staff and other healthcare workers. They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential.
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
- A Disclosure and Barring Service (DBS) check (previously CRB checks) will be undertaken as a matter of course
Learning and Development:
The post-holder will participate in any training programme implemented by the Practice as part of this employment, such training to include:
- Taking responsibility for their own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work.
- Undertake mandatory and statutory training as required.
Team working:
- Assist and support your line manager to provide a quality service
- Provide cover for members of your team during periods of sickness and annual leave
- Support and facilitate change as requested and by participating in team activities to create opportunities to improve customer care
- Undertake additional tasks as required within your general role
- Understand own role and scope in the organisation and identify how this may develop over time.
- Work as an effective and responsible team member, supporting others and exploring the mechanisms to develop new ways of working.
- Accept delegation from senior staff, prioritise own workload and ensure effective time management strategies are embedded in own practice.
- Participate and support local projects as agreed with the management team.
Health & Safety:
The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the Practice Health & Safety Policy, to include:
- Using personal security systems within the workplace according to Practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
