We have an exciting opportunity within the Digital and Data Services Team at LPFT for a Digital and Data Team Administrator. This is an ideal position for those wanting to learn all about Digital and Data Services at such an important time. The post holder will support the wider team in all aspects of Informatics and gain exposure to the whole digital agenda. It would be an ideal position to build a career on.

We are looking for a self-starter who enjoys a challenge with a passion to learn about Digital and Data Services. You will be flexible and approachable with excellent Microsoft Office skills. We work in a fast-paced environment, so flexibility and adaptability are key skills. Working in the NHS and project experience is also desirable but not essential.

To provide general admin and IT support to the Digital and Data Services team with a focus on admin support, Information Governance, Business Intelligence, Training, Clinical systems and projects.

To provide a comprehensive efficient and effective administrative support service for senior managers, project managers and the wider Digital and Data service.

To liaise with other departments and external agencies on behalf of the Team.

To support the wider Digital and Data Services team in all areas of service delivery, including supporting staff absences and during times of peak demand.

With support from the wider team, manage the Trusts print/scan/copy estate and assets.

To be able to exercise discretion whilst dealing with matters of a confidential nature, ensuring that confidential information is secured at all times.

Support the leavers process across the Trust to ensure that IT equipment is managed and appropriately accounted for.

Support manage and facilitate Freedom of Information requests relating to ICT and Informatics.

To be able to illustrate excellent communication skills with colleagues, managers and outside agencies in a pleasant and courteous manner at all times.

To ensure that correspondence, reports and general typing is prepared efficiently and effectively, maintaining high standards of data quality and a professional image for the service.

To process purchase orders and other invoice duties in relation to IT equipment and contracts.

To undertake secretarial duties such as filing, photocopying and diary management for the Deputy Director of Informatics and other team members..

To elevate any issues for the attention of the Heads of Digital and Data Services or the Deputy Director of Digital and Data Services.

Create user guides and help files for various systems across the Trust.

To support the Digital and Data service at meetings through organising the meeting dates, venues, preparing agendas and taking and distributing minutes and associated papers.

To undertake the archiving function for the team to ensure that information is managed in a timely way and not retained for longer than is required, but that it can be accessed when needed.

To ensure the proper functioning, maintenance and fault reporting of central equipment used by the team.

To maintain team asset registers.

To maintain the team’s SharePoint site and any shared electronic databases.

To deal with queries from members of staff within the organisation in a timely and efficient manner.

To participate in training events as appropriate to the role
