We have an exciting opportunity for an Administrator to play a core part in ensuring clients can easily access treatment programmes/groups within the Exemplar project. Cambridgeshire and Peterborough NHS trust (CPFT) were chosen by NHS England as one of the national Exemplar pilot sites for the redesign and transformation of primary and community mental health care.

We are looking for a hard-working and enthusiastic Band 3 Administrator to join our Admin Team within the Personality Disorder Community Service at the Town Hall in Peterborough.

You will need to be calm and patient with an excellent telephone manner and be able to communicate effectively with clients to aid them in accessing treatment easily, whether this be virtually or face to face.

They would have skills to deal with sometimes complex and difficult situations. You will have excellent IT skills to help clients overcome any problems they may have with attending virtual appointments/groups.

1. Good communication with clients ensuring access to clinical treatment
2. Completing audit/outcome measures to aid project data
3. Word processing of all forms of correspondence, reports and summaries that are required by the team.
4. Undertake diary management for clinicians and/or managers, as required.
5. Organise clinics and associated appointments for clinics, using appropriate brought forward systems to manage work.
6. Provide operational support to colleagues, and supervision of Band 2 administration staff within the team, if required, as directed by Line Manager.
7. Deal with staff and service user requests that may be part of a cash office functions as and when required, and in accordance with Trust procedures.
8. Inputting and updating service user information and service user/team activity on computerised information systems, creating service user notes where necessary and according to policy.
9. Maintain filing in both paper and electronic records, ensuring that it is kept up to date at all times. In accordance with Trust procedures, track and receive notes in a timely manner.
10. Ensure good customer service by providing a professional and effective telephone service, taking accurate messages and providing information and signposting as requested and appropriate.
11. Undertake training of new staff as directed by Line Manager and/or other managers.
12. Provide cover as directed by Line Manager for other members of the admin team in their absence and assist with their workloads as necessary and undertake such other duties as may be reasonably required commensurate with the grade of the post.
