Graduate Business Support Officer

**Job Purpose**:to provide professional, efficient, flexible and confidential administrative support to the Dean's Office Team, and be responsible for the provision of administrative support for Faculty requirements.
**Principal Accountabilities**:
Under the direction of the Dean’s Office Manager, be responsible for the daily, efficient running of delegated aspects of the Dean’s Office administration providing advice and guidance on administrative procedures and resolving less routine queries as required
- Undertake and manage specific responsibilities as advised by the Dean’s Office Team members, ensuring the responsibilities are achieved within set deadlines.
- Maintain accurate and secure record keeping in both electronic and paper format necessary to the efficient running of the Faculty. Responsible for organising the centralised electronic filing of relevant faculty documentation e.g. Project documentation.
- As required and directed by Dean’s Office Team staff, provide administrative support to the Faculty Executive Team and other staff as directed, ensuring an efficient and effective service is provided, including diary management, managing correspondence and research as required by the Faculty Executive Team.
- o Organise arrangements for Faculty Executive Team travel, both on and off-campus.o Provide a professional help and advice service to other members of staff as required on all matters relating to the Faculty.
- Data gathering and analysis associated with preparing management information and updating records, relating to meeting agreed milestones and objectives. Analyse/manage data from various sources.
- Maintain up to date filling and bring-forward systems.
- Organise and provide support for Faculty meetings and special Faculty events, e.g., away days, planning days.
- Provide cover of other staff in the Dean’s Office Team as required to cover annual leave, sickness, etc.
- Ensure timely circulation and dissemination of relevant information necessary to the efficient running of the Faculty.
- Ensure effective communication with other Faculties, Support Services, external organisations, professional and educational bodies etc.
- Contribute to the continuous improvement of workflow processes, highlighting issues where improvements can be made to management.
- Comply with Data Protection Act 2018 and GDPR requirements in all working practices maintaining confidentiality, integrity, availability, accuracy, currency and security of information as appropriate. Take personal responsibility for all personal data within own working environment.
**Requirements**:
- Proven administrative experience in an administrative role
- Demonstrable experience of, and desire to enhance the high standards of customer service within the faculty
- Ability to plan, organise and prioritise work
- Strong customer focus
- Ability to manage own workload and work with mínimal supervision
- Ability to multi-task
- Good attention to detail
- Excellent communication and interpersonal skills
- IT literate with sound knowledge of Microsoft Office suite, particularly Excel
- Ability to work in a pressurised environment

**Job Type**: Temporary contract
Contract length: 6 months
**Salary**: £13.50 per hour
Expected hours: 37 per week
