**Job description**

Ipeco Holdings Limited was founded in 1960. More than 50 years on it is still a privately owned UK company. We are engaged in the design, development, manufacture and test of niche products for the aerospace and defence industries. Principal products include aircraft crew seating, executive passenger seating, galley inserts, salt bath brazed chassis and electronic power management systems.

**OVERALL PURPOSE OF THE ROLE**:
To provide an efficient administration service, ensuring products / parts are shipped in accordance with internal, external and regulatory requirements.

**PRINCIPLE ACCOUNTABILITIES**:

- Determine items that are available for shipment and raise the necessary paperwork for picking of these items.
- Process dispatch / invoicing transactions accurately, and in line with appropriate procedures.
- Raise and collate shipping / export paperwork in line with customer and regulatory requirements.
- Liaise with third party logistics to obtain quotes and resolve issues, while ensuring the Company is operating in line with its contractual obligations and achieving cost effective shipping rates.
- Ensure courier collections are arranged on time, in accordance with customer requirements and in line with contractual obligations.
- Maintain records for regulatory purposes, ensuring 3PLs for necessary Airway Bill / Proof of Export records are received.
- Assist in arranging transport for items being sent to the Company from suppliers and / or customers.
- Assist with commercial activities when required, including but not limited to, administering customer purchase orders and assisting with the formulation of responses to customer requests for quotations and proposals.
- Participate in the coverage of the AOG support service.
- Maintain up to date and accurate data filing systems and record keeping.
- Undertake various ad-hoc projects as required to support the changing requirements of the business.
- Work effectively with all other relevant internal departments across the Company.
- Be a brand ambassador and to always reflect the Company’s values in all customer interaction.
- Ensure compliance with all Company policies and regulations where appropriate in all customer interaction.
- Adhere to all Company rules and regulations.
- Carry out any other tasks where reasonable and relevant, when required. Health and Safety policies and procedures.

**ESSENTIAL REQUIREMENTS**:

- Microsoft Office, specifically Word, Excel and Outlook experience
- Ability to work in a fast paced, varied and demanding environment
- Office administration experience

**DESIRABLE REQUIREMENTS**:

- Familiarity with US / international customs rules and regulations
- Experience working with 3PLs
- SAP knowledge / experience
- Experience of working within the Manufacturing Industry
