The position will be based in the company's offices in Newcastle-under-Lyme, and you will work alongside our Bookkeeper helping to provide a full financial administration service including payable and receivable ledgers, journals, producing payment schedules, document filing, oversight of automated invoice feeds, and other tasks designated by the Bookkeeper and Management.

**Position Title**:Accounts Assistant

**Position Reports to**:Bookkeeper

**Key Features of Role**:
Accounts Receivable
- Ensure that customer invoices are correctly submitted over our EDI platform
- Submit rejected EDI invoices manually
- Process export invoices
- Ensure that invoices posted in the Inventory Management system (IMS) via API match those submitted to the customers via EDI
- Ensure invoices and payments received from the Website are correctly posted in IMS
- Ensure that all invoices posted to the IMS are automatically completed (picked/pack/shipped).
- Resolve incomplete invoices manually.
- Close paid invoices

Accounts Payable
- Match invoices to stock receipts
- Request credit notes for damages / missing items
- Reconcile supplier accounts in QBO on a monthly basis
- Keep additional copies of all invoices on our network
- Close completed purchase orders

Stock
- Ensure that new stock is entered in to the system

VAT / Tax
- Prepare the quarterly VAT return for Management review
- Administration of VAT from imports / exports
- Make sure website sales have the correct shipping VAT rate applied
- Provide VAT rates for new products
- Ensure PAYE / Corporation Tax / VAT payments are submitted on time

Bank
- Produce remittance schedules from customer portals and enter required credit notes for chargebacks etc. in QBO
- Match customer remittances with sales invoices / credits in QBO

Miscellaneous
- Any other accounting / non-accounting tasks as directed

Qualifications / Skills Essential:

- Minimum AAT Level 2
- Excel intermediate e.g. Pivot / Vlookup etc.

Qualifications / Skills Desirable:

- QuickBooks Online

Experience Essential:

- Minimum 3 years experience providing accounts administration in a small business environment
- Experience with stock based purchase ledger

- Learning agility - assimilate new information quickly, understand the business, and accurately keep up to date with changing legislation;
- Tech savy - at least intermediate capability with Excel and good skills with other Office apps, and intuition / aptitude to learn new IT systems quickly (QBO, IMS, EDI, Customers Vendor portals);

**Salary**: £23,000.00-£24,500.00 per year
