**Position Summary**:
Oakleaf Enterprise is seeking an Administrative Assistant to work in our Guildford office. Providoing comprehensive support to the CEO encompassing key elements of administration, organisation & scheduling. This will entail liaising with the Strategic Leadership Team & other staff members. On behalf of the CEO liaise with external bodies, primarily for scheduling of appointments. Furthermore, summarise & precis documents, & offer solutions to problems with a high level of professionalism & confidentiality.

**Main duties & responsibilities**

1. Provide calendar management for the CEO, prioritising enquiries, ensuring the CEO is kept informed of upcoming commitments & responsibilities. Make recommendations to ensure smooth running of day-to-day engagements.

2. Arrange all meetings with the Strategic Leadership Team, preparing draft Agendas; collate & distribute resulting Action, record Minutes if required.

3. Complete a broad variety of administrative tasks to facilitate the CEO’s ability to lead the charity, including: assisting with identified projects, producing and/or overseeing the production of documents, reports presentations; collecting & preparing information for meetings with staff and/or external parties; composing & preparing correspondence.

4. Serve as the primary point of contact for internal & external matters pertaining to the CEO, including those of a confidential nature. Prioritise an appropriate course of action, onward referral or response which should reflect the CEO’s style & the organisations image.

5. Assist with scheduling staff meetings ensuring the CEO’s voice is represented in his absence & when necessary take Minutes & circulate to all staff.

6. Provide a bridge for regular communication between the CEO & staff.

7. Ensure effective follow-up on contacts made by the CEO to cultivate ongoing relationships.

8. Manage aspects of office services e.g. ensuring policies are updated within set timeframes & posted to relevant online files & folders, whilst ensuring prior copies are deleted.

9. Ensure HR procedures including training are co-ordinated between the CEO, Line Managers & external HR resource.

10. Answer phone calls as may be necessary or appropriate, attend other meetings as may be appropriate.

11. Perform any other reasonable duties as may be requested

**Requirements**:

- Must be able to read, write, speak, and understand English to a high level.
- Must be educated to A level standard.
- Must have experience working in an office environment.
