**Description**:
Sue Ross Recruitment are delighted to be working with a local government organisation in the recruitment of an Executive Assistant to their Chief Executive.

You will be responsible for providing a high-level specialist, professional and confidential Executive Assistant support service. The role will support the Chief Executive on their business engagement in a professional manner. The role will maintain the forward plan of corporate obligations, helping to ensure that business priorities are met.
- Providing a high level, specialist executive support service, including the full co-ordination and effective management of diaries, to prioritise and meet deadlines as well as ensuring relevant papers or briefing notes are prepared in a timely manner.
- Acting as the first point of contact for the Chief Executive, dealing effectively and consistently with enquiries from internal and external stakeholders including Leaders, Councillors, Chief Executives, senior Civil Servants and Ministers, and press/journalists in a highly professional, efficient, and timely manner.
- Responsibility for the effective management of the Chief Executive’s inbox, including prioritisation, responding, delegating, or drafting responses on their behalf as necessary.
- Ensuring appropriate and efficient co-ordination, communication and collaboration between colleagues and external sources is in place to ensure activity is delivered to a consistently high standard and with the required impact
- Providing a professional and confidential secretariat to meetings: preparing agendas and production of accurate and succinct meeting notes that record key discussions and actions. Holding senior Officers accountable for ensuring follow up actions are completed, demonstrating sensitivity to the confidential content of meetings.
- Ensuring the Chief Executive and their wider supporting teams are aware of deadlines for papers/reports/briefings due to go to specific meetings.
- Maintaining an accurate and efficient electronic and paper filing system and be responsible for records management including archiving whilst improving paperless working by scanning to a central secure location
- Responsibility for arranging, sourcing, and booking travel and accommodation both nationally and internationally using the organisation’s online travel portal.
- Preparing travel itineraries and booking of venues for conferences/events, including the organising of catering and refreshments as necessary.

Essential Experience:

- Proven experience of working as a PA or EA at a senior Executive level- Proven experience of working with highly confidential, sensitive, and contentious- information.- Experience of prioritising, planning, and organising workloads to manage expectations- and deadlines.- Experience of utilising advanced functionality within Microsoft products e.g., Word,- PowerPoint, MS Teams and Excel to produce professional documentation.- Experience of establishing business systems, processes, and procedures to increase- efficiency.- Experience of working within local government and/or a political environmentMay we take this opportunity to thank you for expressing an interest in one of our roles and wish you the very best in your search for employment.
