**Job purpose**:
Toundertake office administration tasks to support the functions of theIntegrated Healthy Lifestyle Service.
**Keyresponsibilities**:
The Infrastructure Administrator is an important role within the OneLife Suffolk service, as the post holder will be responsible for supporting Induction and delivery across all parts of the Integrated Healthy Lifestyle Service.

Provide a full administrative and support service to allservices within the Integrated Healthy Lifestyles Service as directed byService Leads and Managers.

To assist with the processing of referrals within the clientservices team to the IHLS programmes as required.

Accountable for ensuring that appropriate venues are booked, in advance and within budget, to meet the needs of service delivery teams, liaising with the Service Leads as required.

Accountable for coordinating Risk Assessments for new venues to support service delivery. Ensuring that they are fit for purpose, with specific consideration to accessibility and location within the 40% most deprived LSOA areas.

Responsible, in liaison with the Infrastructure Lead, for ensuring all Risk Assessments are reviewed at least annually and renewed when appropriate; that they are appropriately stored and accessible on shared drives and version controlled.

Accountable for liaising with the Marketing and Client Services Teams to communicate venues for service delivery, including any updates/amendments, to support marketing activity and referrals into programmes.

Undertake regular review of local office signage to ensure that OneLife Suffolk are complying to applicable Health and Safety legislation as instructed by the Infrastructure Lead.

Act as key point of contact for venues in relation to bookings/cancellations/amendments/invoices, in liaison with Service Leads. Liaising with the Finance Administrator with regards to scrutiny/authorisation of invoices.

Responsible for undertaking a regular review of hire costs in line with budgets and preferred supplier list, in liaison with the Finance Administrator.

Support the upkeep of basic office equipment e.g. photocopier and fax machine logging calls with support services as appropriate and following issues through to resolution.

Be accountable for the general upkeep of the office environment undertaking activity to support the Clear Desk Policy and ensure that Hot Desking spaces are fit-for-purpose. Oversee audits to be completed in line with schedule to maintain office compliance.

To support preparation for the delivery of IHLS programmes asrequested by Service Leads, in consultation with the Infrastructure Lead,including printing resources and ordering equipment.

Responsiblefor the co-ordination and booking of venue/meal arrangements for staffAway-Days in consultation with the Infrastructure Lead, SMT and SLT, ensuringthat appropriate notifications are sent out to attendees.

Assist in the collation of resources to support delivery ofEvents as instructed by Service Leads, in consultation with the Infrastructure Lead.

Oversee the upkeep of shared office spaces, ensuring thatthey are fit-for-purpose, in consultation with the Infrastructure andImprovements Manager.

Process and action post as required.

Other ad-hoc duties concerningservice administration as and when required.
