An exciting opportunity has arisen for a part time Clerical Officer (15 hrs) within our Community Mental Health Team based in Ty Einon. The post holder will be responsible to provide a comprehensive, confidential, high quality secretarial administration support and to work as part of the administration team providing cover as appropriate.

Carry out reception duties in a polite and courteous manner, having an awareness of customer care needs. Exchange information with patients, relatives and staff whilst maintaining confidentiality.

Provide confidential routine clerical / typing duties

Admit and discharge on patient hospital IT systems

Open and distribute mail as appropriate

Assist with developing and maintaining efficient and effective systems to ensure the smooth running of the office.

Make and take telephone calls from patients and relatives and actions as appropriate within the limits of responsibility. Ensure that messages are passed to the appropriate team members / medical staff in a timely fashion. Logging all calls as per procedures. Regularly and compassionately deal with distressed patients and relatives.

File and retrieve health records ensuring they are kept in compliance with the Health Board Policies and Procedures.

The maintenance of all patients case notes in line with the Health Board’s compilation of Health Records Policy and related procedures.

Ensure work is undertaken and prioritized appropriately

Ensure the Health Board Security and Confidentiality Policy is adhered to at all times.

Liaise with General Practitioners, Social Services and other professional agencies as required by members of the team
