**CONFERENCE & EVENTS EXECUTIVE **for amazing Events, Conference & Wedding venue on the shores of Rutland Water.
Set in beautiful parklands, **Rutland Hall Hotel & Spa** is just the perfect setting and we are looking for a very special person to join our ambitious team as a **Conference & Events Executive**; someone who is **PASSIONATE ABOUT GIVING GOOD SERVICE**, has a meticulous eye for detail and is willing to go the extra mile ensuring all guests leave with magical memories lasting a lifetime
**SPECIFIC CONFERENCE & EVENTS EXPERIENCE is ESSENTIAL for this role, **together with exceptional customer service, organisational and communication skills. With a beautiful refurbished events & conference venue in our Lake View suite, with capacity for 220 and our Meeting & Conference rooms, Apple & Cherry, together with our jewel in the crown Pavilion with capacity of up to 450, this is a great place to be proud of This role is a unique opportunity for the right person to really establish themselves and help build our reputation as one of the best venues locally and nationally
**To give a flavour of responsibilities, accountabilities will include**:
- Ensuring the administration of conference & events and weddings is maintained to a high standard, including management of sending out collateral, mystery shopper standards, and accounting information processed correctly.
- Making follow up calls to ensure brochures have been received, sending out quotes, arranging and managing showrounds, contracting, chasing deposits, completing final details, completing function sheets, liaising with reservations on the rooming lists, anticipating guests needs when possible.
- Operating and maintaining Guestline to obtain maximum occupancy rates, accurately inputting information, handing over to the operations team.
- Liaising with suppliers, raising purchase orders, receiving and processing feedback; producing accurate function sheets on time maintaining 100% attention to detail.
- Completing any budget and forecasting administration and assisting in proactively selling the hotel facilities to potential guests and companies.
**Our successful Conference & Events Executive will**:
- Be able to clearly demonstrate they are an experienced and seasoned C&E professional who is able to hit the ground running
- Be confident with a positive approach to work
- Possess outstanding guest liaison skills and be able to forge strong and professional working relationships with new people
- Have excellent administration skills with high attention to detail and accuracy.
- Have ability to work well under pressure with a professional manner
- Proven high levels of written and spoken English
- Be able to demonstrate organisational skills, interpersonal communication, team player and able to work on own initiative
- Have a comprehensive working understanding of Guestline (training on system will be delivered by company so not essential prior to starting but definitely a plus)
- Relevant hotel/hospitality experience and ideally experience of cultural venue dry hire
- Experience from within a sales environment is a benefit however not essential
- Immaculate personal presentation
- Be flexible on working weekends and bank holidays
