**OCCUPATIONAL HEALTH CLERK - GRADE E (2 x PERMANENT POSTS - ONE FULL TIME, ONE PART TIME)**

**The Opportunity**

An exciting opportunity has arisen for enthusiastic and motivated individuals to join our Occupational Health Team. Our aim is to maintain the health and wellbeing of employees, therefore increasing productivity, reducing sickness absence, and assisting in the recruitment and retention of our employees.

Under guidance from the Senior Occupational Health Advisor, you will be responsible for providing a high quality professional secretarial / administrative service to the clinicians in the Occupational Health Team.

You will be required to work on site at the Occupational Health Reception desk, Gateshead Civic Centre.

**Duties include**:

- Updating spreadsheets in relation to the collection of statistical information, starters, leavers etc.
- Maintaining accurate filing system of either digital or hardcopies for client files.
- Produce high quality correspondence, with good attention to detail, to ensure the needs of the clients are met in a sensitive manner.
- Overseeing the uploading of relevant documents onto an online database.
- Providing general admin support to Occupational Health staff and the Occupational Health and Safety Manager as required, including small bespoke projects.
- Contributing to the processing of management referrals to Occupational Health, including creating paper or digital client folders and inputting into a database.
- Ensuring Occupational Health supplies are fully stocked at all times, to order equipment for the occupational health department and clients as necessary (eg disabled clients - Access to Work)
- Contributing to the dispatch of clinic reports and the process for requesting medical information from GP’s and other health professionals.
- Audio typing to produce occupational health reports for the occupational health physician.
- Processing invoices and payments as required.
- Representing Occupational Health in a professional manner at all times, ensuring a high standard of customer service to both colleagues and clients.
- Managing sensitive medical information that is highly confidential in a way that is tactful, professional and ensures confidentiality is always maintained.
