An opportunity has arisen for a **Senior Receptionist** to join the Facilities department in a rapidly expanding and exciting work environment. The purpose of the role is to ensure the smooth day to day running of Fortescue WAE HQ Reception. The role includes the operations of the reception, meeting rooms and assistance in the office area. This position will act as the first point of contact to external visitors both in person and over the telephone and will therefore be required to deliver a high quality of customer service which is friendly, helpful, professional, discrete and resourceful at all times.

- Manage visitor bookings through Envoy, ensuring visitors are logged in to the system on arrival and working with the security team to swiftly handle any unexpected visitors in an appropriate manner.
- Effectively manage a busy reception area always ensuring a professional company image, making sure it is always kept clean and tidy.
- Manage a busy switchboard, incoming calls for the business, screening calls, forwarding to appropriate members of staff and taking messages where appropriate.
- Manage the hospitality bookings for Fortescue WAE, evaluating suitability for the type of meeting being held, forwarding them to the catering suppliers within agreed SLA’s and supporting the catering team with delivery and cleaned up when appropriate.
- Authorise and mange meeting room bookings, ensuring the client facing meeting rooms are cleared and cleaned between bookings particularly where hospitality has been arranged.
- Manage pool car bookings and returns in accordance with Fortescue WAE procedures, including booking maintenance requests and valet booking. Supporting on site EV charging facilities.
- Manage the stationary supplies, including re-stocking as required.
- Maintain security records, issue and maintain ID cards and security fobs to members of staff and contractors.
- Assist with inducting of new staff, ensuring correct right to work documentation is in place on the first day of their employment.
- Support and guide receptionists across the business, organising reception cover during absences such as annual leave/sickness. Also available to cover reception at other sites as required.
- Identifying any relevant training for the team.
- Providing administrative support to Office Management and Facilities, including programming access passes, reporting any building/facilities issues, assisting new starters with their first day inductions, and another other ADHOC admin required.

**You’ll have**:

- Previous customer service experience in a front of house role
- Previous administrative experience
- Competent user of Microsoft Office suite
- Friendly and welcoming disposition
- Flexible and organised, with the ability to organise regular duties around frequent visitors.
