**About us**

We are looking for a motivated individual to join as Administrative Assistant, supporting the team by providing proactive and comprehensive administrative support across the organisation.

**Main Role and Responsibilities**:

- Act as first point of contact for Directors and management team, proactively dealing with correspondence and phone calls
- Manage diaries, organise meetings and appointments
- Arrange Board Meetings, and support the preparation of Board papers
- Organise room / venue bookings, refreshments, etc.
- Book and arrange travel, transport and accommodation for business trips as required
- Organise internal events and conferences, and team members’ attendance at external events and conferences
- Attend meetings, take notes/minutes
- Prepare documents, reports, presentations and correspondence on behalf of the Directors and management team
- Manage databases and filing systems, ensuring information is stored in a timely and accurate way
- Responsively support and liaise with non-executive Board Members, consultants, external providers and stakeholders
- Collating and filing expenses, as required
- Maintain the company organization chart, updating it as necessary when employees leave or join, or to reflect structural changes
- Oversee the general smooth running of the Woolwich office, liaising with buildings management / facilities professionals, ensuring supplies are available and equipment is in good working order, and undertaking purchasing or contracting with suppliers as necessary

**You are required to have**
- Ability to manage a diverse set of priorities and meet deadlines to a consistently high standard
- Capacity to set up and maintain administrative processes and office systems
- Excellent written and verbal communication skills and a strong understanding of delivering great customer service
- Good analytical skills with the ability to identify key points from complex material or information
- High computer literacy and confidence with Word, PowerPoint, Outlook, and Excel
- Exceptional use of written and spoken English
- Experience providing administration support, preferably in an office environment.

- Ability to work with a wide range of people whilst presenting a professional image on behalf of this organisation
- Ability to be calm under pressure and help build a collaborative team culture
- Flexibility and willingness to work under own initiative
- Discretion when dealing with confidential information
- Willingness to undertake other responsibilities and an eagerness to learn
- A demonstrated commitment to and interest in the aims and objectives of the organisation
- Computer literate, knowledge of Excel, PowerPoint, MS Project
- Excellent communication skills, fluent Mandarin and English both in speaking and writing.
- Professional, polite, and confident telephone manner

**Job Types**: Part-time, Contract
Contract length: 12 months
Part-time hours: 15 per week

**Salary**: £22,500.00-£25,500.00 per year
