Guildhall Surgery of Folkestone is seeking a full-time, permanent Reception Supervisor, preferably with EMIS Web knowledge, to join its practice with a list of circa 9500 patients.

This is a great opportunity for an enthusiastic and friendly person to work within a very busy GP’s Practice environment, where you need to be able to work calmly and efficiently under pressure. Experience in managing a reception team within a GP surgery or other healthcare environment is desirable but not essential.

You will need to be an excellent communicator and a very efficient administrative support for the rest of the team and Management.

Duties include but are not limited to:

- Overseeing the reception services of the practice, ensuring staff achieve their primary responsibilities
- Induction of new reception staff, supervising all reception staff, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training
- Completing staff appraisals as required
- Identify and supervise delivery of team training where required
- Compiling reception staff rotas
- Reviewing and updating all reception procedures as required
- Support the management team in the compilation of practice reports
- Maintain an effective appointment system for all services
- Act as a focal point for communication, advising reception and administrative staff on methods of communication and best practice
- In conjunction with the Practice Manager update our appointment system to reflect leave, sickness, and other approved absences
- When necessary provide initial guidance and advice to patients who wish to complain
- Act as one of the building fire marshalls, ensuring evacuation lists are current and that the visitors log is used appropriately (training to be provided).
- Monitor staff attendance, sickness absence, annual leave and daily rotas.
- Ensure cover and suitable contingency plans are in place for all leave, including unforeseen absence.
- Undertake the return to work interviews, notifying management of any anomalies.
- Be the first line of management to deal with disciplinary matters within the reception team, speak to reception staff when appropriate, and notify them of any action.
- Accurately document all incidents and outcomes, ensuring that the practice manager is kept informed.
- Assist with the appropriate recruitment and selection procedure for reception staff.
- Undertake, in association with the Practice Manager, three and six month reviews.
- Assist with and minimise potential ‘problems’ that may lead to complaints.
- Coordinate and facilitate staff meetings.
- Creating a positive and fair atmosphere while ensuring it's a safe workplace for all staff.
- Providing general support to the GP Partners and Practice Manager
