**School Secretary**

**Term of Contract**:Permanent

**Hours**: 40 hours per week (Suffolk time term-time plus 2 days either side of each term. Also ‘on call’ during the holidays (only if necessary and paid at an hourly rate).

**Start Date**: September 2024 but with a ‘handover’ from the current Secretary prior to the end of July. This will be paid pro-rata.

**The Role**:We would like to appoint a welcoming, efficient and organised school secretary who is dedicated to managing and maintaining an effective School Office. You will be part of a team committed to providing an excellent education for the boys at Broadlands Hall, a special needs school (learning difficulties/autism).

**Purpose of the Job**:Provide administrative support to the Head Teacher, supported by the Senior Management Team, including receiving and handling information.

**Liaison with**:The Head Teacher, Lead Teachers and other support staff, which may include outside agencies such as Local Authorities, Speech and Language Therapists and Educational Psychologists.

**Responsibilities of the Post**:
Be computer-literate and able to use Word, Excel and other software involved in the smooth running of a school setting.
- Maintain schedules, calendars and update contact details of staff, YPs, their carers and outside agencies.
- Maintain office systems, including staff and pupil personal files.
- Coordinate meetings and visits to the school and circulate information about events and school trips.
- Prepare and manage correspondence, reports and documents, including minutes of meetings.
- Collate information and maintain databases.
- Communicate verbally and in writing to answer inquiries and provide information as requested.
- Operate office equipment and manage office supplies, as well as stationary for the school.

**Supporting the School**
- To foster links between the homes, school and outside agencies.
- To participate in relevant professional development as deemed appropriate.
- To maintain confidentiality and sensitivity to the pupils’ needs and have regard to the safeguarding procedures of the School.
- To carry out duties as directed by the Head Teacher and Lead Teachers, as required.

**Personal Specification**

We are looking for a School Secretary who:

4. Has good written and spoken English and the ability to compose correspondence and reports.

5. Has good interpersonal skills and is a positive role model, to lead and motivate others.

6. Has the ability to prioritise work schedules, good time management and can work well under pressure.

7. Is flexible and resilient and has high expectations of him/herself and others.

8. Has a willingness and passion to get involved in the wider life of the school.

9. Can work to deadlines.

10. Has a basic understanding of procurement and account management.

11. Has a basic understanding of HR procedures, to support with the recruitment of staff.


12. Is willing to take on responsibility for school registration and welfare calls
