We have an exciting opportunity for a Business Support Administrator to join our team. This role is based at our Crescent Providence Surgery, working Monday to Friday 08:30am - 17:00pm (30 minute unpaid lunch), 40 hours per week.

**Job Summary**:
This role provides vital support to the ongoing success of South Coast Medical Group by acting as a key point of contact for administrative support for multiple sites and services. The main duties include:

- Supporting the process for recording and investigating Significant Events in accordance with CQC regulations
- Coordinating student placements, including rotas, accommodation requirements and IT system access
- Supporting patient access and coordination of MRI services
- Arranging clinical and non-clinical meetings, including minute taking
- Coordinating access to our private patient services
- Procurement of clinical and non-clinical supplies
- And other ad-hoc administrative tasks such organising social events and well-being initiatives

**Responsibilities**:
**MRI Referrals**
- Overall running of the MRI service.
- Organising the radiographer’s rota.
- Booking in patients.
- Sending referrals to radiographers.
- Collate monthly invoices.
- Keep a record of all patients booked and contacted.

**Private services**
- Understanding of the private services and prices.
- Producing invoices as and when needed.
- Respond to Whatclinic enquiries.
- Scheduling appointment and coordinating Dr Ni’mans availability.
- Keep a record of all patients booked and contacted.

**Significant events**
- Logging SIG events.
- Record SIG events on Ulysses.
- Updating and maintaining the SIG events list and any tasks.

**Students**
- Organise student rotas and/or accommodation, this includes, College, University, Nurse, and any new clinical staff.

**Reception**
- Support reception in the first 30-60 minutes of the day during busy periods.
- To have a thorough knowledge of all practice procedures.
- To work in accordance with written policies and protocols.
- Using the computer system to organise patient information and appointments for surgeries and update as necessary.
- Fax, scan and photocopy as requested.
- Cover all reception positions as necessary.
- Acting in a courteous, respectful and helpful manner promoting the values of the practice.
- Process appointment requests for today/future appointment from patients by telephone and in person.
- Deal with visit requests.

**Smartcard and SystmOne**
- Change and request new passwords for SystmOne
- Change and create rotas for all staff when required and provide cover for rota managers
- Update and create letters on SystmOne

**Other Admin support**
- Be responsible for ensuring safe delivery of post to the Post Office every day for the business.
- Flexible to support other administrators and management with adhoc work such as scanning documents to the library and sending to organisation, updating documents etc.
- Meeting minutes and organisation of meetings, both clinical and managerial meetings
- Procurement of stationary, surgical supplies for all sites
- Organise staff social events
- Collate staff suggestion boxes
- Create and send organisation-wide surveys
- Undertake administrative duties on Clarity Teamnet

**OurHealth**

- Ensure all wellbeing documentation and resources are easily accessible to staff via regular Clarity TeamNet updates
- Manage and maintain the OurHealth Topic page / Padlet
