JOB TITLE: Finance Executive

LOCATION: SW4 6DH, London

TERMS: Full-time, Permanent

SALARY: £24,000 - £28,000

ABOUT US:
Optimal Maintenance Ltd offers property maintenance to a variety of clients from housing associations to high-end estate agents.

Optimal Maintenance Ltd offers a professional service covering all types of property maintenance. This could be a carpenter to fit a new door lock, a gas safe plumber to install a new boiler or a full property refurbishment. No job is too small and, as a result, this means that properties receive the care they deserve with a high level of customer service from both office and field staff.

**Requirements**:
KEY TASKS AND RESPONSIBILITIES:

- Invoices: Quality & financial control of invoices created by invoice clerk. Chase any overdue invoices with clients, Send monthly invoice statements to key clients
- Fleet Control: Maintain records of PCN's, pay PCN's, track mileage usage, co-ordinate services, insurances and purchasing of new fleet
- Company Cards: Check Pleo (company card) transactions, cross-referencing with our job management software and following up on any procedures not being followed by staff and engineers
- Board Support: Provide comprehensive support to the Board of Directors, including scheduling meetings, preparing agendas, compiling board packs, and ensuring timely distribution of materials.
- Governance Framework: Develop, implement, and maintain governance policies and procedures to align with legal and regulatory requirements. Continuously review and update these frameworks to enhance efficiency and compliance.
- Meeting Facilitation: Coordinate and facilitate board and committee meetings, ensuring that meetings run smoothly, minutes are accurately recorded, and action items are tracked and followed up on.
- Communication Liaison: Serve as a liaison between the Board of Directors, senior management, and various stakeholders. Communicate important decisions, policies, and updates effectively to ensure alignment and understanding.
- Compliance Monitoring: Monitor compliance with governance policies, legal requirements, and industry standards. Identify areas of improvement and work with relevant teams to address any compliance gaps.
- Risk Management: Assist in identifying, assessing, and mitigating governance-related risks. Collaborate with the directors to develop strategies for risk reduction.
- Document Management: Maintain a repository of governance documents, including bylaws, charters, and policies. Ensure accessibility and version control of these documents.
- Continuous Improvement: Stay current with governance best practices, emerging trends, and regulatory changes. Recommend and implement improvements to enhance the governance framework.

THE IDEAL CANDIDATE SHOULD HAVE:

- Experience working within a property maintenance company (desired)
- Experience using Microsoft 365
- Analytical mindset with the ability to assess complex issues and propose effective solutions.
- Strong communication and interpersonal skills, capable of building relationships and facilitating discussions at all levels.
- Proven experience in governance, compliance, or a similar role, with a strong understanding of corporate governance principles.
- Ethical and principled approach to governance.
- Great attention to detail.
- Ability to prioritise and work under pressure.
- Quick learner and proactive approach.
- Highly organised.
- Adaptable to the needs of the business and new technologies.
