**RECRUITMENT ADMINISTRATOR**

**Reports to**: Human Resources (HR) Manager

**THE ROLE**

This is a new role which will support the Recruitment Coordinator and the HR Manager with
the end to end administration of the Abingdon Foundation’s safer recruitment and onboarding
process, including the completion of all pre-appointment checks.

**THE DEPARTMENT**

The HR department is responsible for all aspects of recruitment and selection and works
closely with the Senior Leadership Team, Heads of Department and other Appointing
Managers. The department also supports the Foundation with absence and staff wellbeing,
compliance with relevant statutory requirements, employee relations, maintaining accurate
staff and applicant records, pay and benefits and training and development.

The Head of HR is currently supported by a team of five other staff who are a mix of full time
and part time. The Abingdon Foundation engages around 450 payrolled staff as well as
around 300 other staff such as self employed coaches, visiting music teachers, volunteers
and governors.

**DUTIES & RESPONSIBILITIES**

to the nature, level and extent of the post. Duties will include, but not be limited to
- **Data Protection**
- To ensure that all applicant and staff data is processed in accordance with the

Foundation’s data protection and data retention policies.
**Human Resources Information System (HRIS)**
- To input into the School’s HR system ensuring accuracy of all data (full training will be

provided).
**Recruitment and selection**
- To assist with the preparation of job descriptions and other recruitment materials.
- To post recruitment advertisements internally and externally as required.
- To liaise with colleagues internally, including with those working in Communications

and Marketing, to ensure that advertisements are posted on the School’s website and
social media.

- To set up, organise and maintain job and applicant folders, including shortlisting tools

forms and covering letters, references, interview notes, lesson observation notes and
scores.
- To organise and carry out all relevant pre interview safeguarding checks as stipulated

by the Foundation’s Safer Recruitment Policy including conducting online searches

- To assist in the organisation of interviews helping to ensure the smooth and

professional running of selection days.

- In consultation with the HR Manager and/or Head of HR, to coordinate the

Foundation’s recruitment activity in the absence of the Recruitment Coordinator and
during their annual leave.
**Regulatory compliance**
- To have or acquire a comprehensive understanding of ISI regulatory requirements

(Part 4) and
HR practice.
- To ensure, along with all others in the HR Team, the School’s Single Central Register

of staff is effectively and accurately maintained.
**Vetting**
- To be a first point of contact for managers looking to make atypical appointments e.g.

casual workers, contractors, self employed and volunteers and, with support, to
advise on the safeguarding checks required.
- To be a first point of contact for advice in relation to the appointment of third party

contractors liaising with suppliers to ensure that the correct safeguarding checks have
been carried out and appropriate documentation has been received.
- To organise and carry out all relevant post interview safeguarding checks as

stipulated by the Foundation’s Safer Recruitment Policy such as Barred List checks,
enhanced Disclosure and Barring Service (DBS) checks, overseas criminal record
checks, prohibition checks, checks of medical fitness etc. and to chase to ensure that
these are received prior to start date.
- To ensure that all relevant self-employed staff have appropriate public liability and

professional indemnity insurance (where appropriate).
- To communicate regularly with the HR Manager as to the status of staff vetting and

escalate when necessary.
- To assist with monitoring and checking the list of staff required to maintain a

subscription to the DBS Update Service and to help ensure that regular Update
Service checks have been carried out.
**Other duties**
- To assist any member of the HR team with administrative tasks where necessary.
- To take on projects as directed by the HR Manager.
- To undertake any other duties consistent with the scope of the post as directed by

either the HR Manager or Head of HR.

In addition to the above, all staff share responsibility for achieving safe working
conditions. The postholder must take care of their own health and safety and that of
others, observe applicable safety rules and follow instructions for the safe use of
equipment.
