Monday, Wednesday, Thursday and Friday 8.30am till 1.30pm

An opportunity has arisen for a motivated, enthusiastic and flexible individual to join our busy ward clerk team working across the maternity wards. The hours of work are as stated above.

You will mainly play a key role in the day to day running of busy wards and units and ensuring that the administration of the patients is completed in a timely manner. You will be expected to carry out a wide range of clerical and administrative duties. Previous secretarial/office experience essential, as is computer literacy and customer service skills.

You must be able to work with discretion and maintain confidentiality at all times. You will be well organised and able to use your own initiative in a demanding environment, have the ability to work under pressure and be flexible. You should possess excellent communication and interpersonal skills. An understanding of Patient Administration systems is desirable but not essential as training will be given.

MAIN DUTIES
- Assist in the welcome and reception of patients and visitors into the clinical area, maintaining a courteous and professional manner at all times.
- Handle telephone calls and face to face enquiries from relatives, hospital staff and members of the Public in a constructive and sympathetic manner referring to the appropriate person where necessary.
- Use computer skills and other clerical activity to perform the correct procedure for admission, discharge, transfer and death of patients and make arrangements for follow up appointments in the manner laid down by the Trust.
- To be responsible for any information entered onto the computer whilst carrying out the duties required by the Trust, and maintaining confidentiality.
- Report any errors, duplications or omissions in patient information to the appropriate department and carry out the correct procedure to rectify the problem as per Trust policy.
- Ensure that patients’ medical records are available on the ward, obtaining these where necessary from other departments according to Trust policy. Ensuring notes are traced to the correct location.
- Ensure patient confidentiality/privacy is maintained at all times in accordance with Trust policy.
- Ensure all case notes are kept in good condition in accordance with trust procedures and policies, whilst notes are in the care of the ward.
- Carry out daily maintenance of the ward medical notes trolley, ensuring that notes are kept tidy at all times, and photocopy relevant Trust documentation to ensure an adequate supply is available for ward use.
- File investigation results and other documentation in patients’ case notes in accordance with Trust policy.
- Record all ward attendances by patients in accordance with strict procedural guidelines laid down by the Trust.
- Ensure all private and overseas patients have the correct documentation and inform information Services adhering to Trust procedure.
- Maintain a safe working environment; reporting incidents, accidents and complaints adhering to Trust and departmental policies at all times.
- Undertake duties on different wards/departments as and when required by service demands.
- Undertake mandatory training annually.
- Attend annual staff development reviews in which training and development needs will be identified and planned.
- Ensure regular attendance at team meetings as required.
- Maintain stationary levels for ward use.
- Collate patient information as per Trust policy.
- Record statistical data as required.
- Ensure the maintenance of good relationships, communications and teamwork with all disciplines within the ward/department.
